With this setting, OnBase checks to see if the data already exists in the AutoFill Keyword Set, before inserting data from the import text file. It then updates existing items, and inserts all of the new data into the set.

Note:

If you select the Update existing AutoFill Keyword Sets with data from file option in conjunction with the Only update provided keywords option, null values contained within the import text file are not used to update existing Keyword Values.

  • Selecting this setting helps to avoid having duplicate AutoFill Keyword Set data.

  • Every line in the import file is incorporated into the AutoFill Keyword Set in OnBase.

  • Any AutoFill Keyword Set data that exists in OnBase but not in the file will not be updated and will remain in the system.

    CAUTION:

    Do not select this option if you have multiple AutoFill Keyword Sets sharing a Primary Keyword Value in either the import text file or the existing AutoFill Keyword Set.

  • If you have multiple AutoFill Keyword Sets sharing a Primary Keyword Value in system, the import processor will not update any of them. It creates an error in the Verification Report and marks to keep both AutoFill Keyword Sets, but does not update either.

  • If you have multiple AutoFill Keyword Sets that share a Primary Keyword Value in the import text file and only one AutoFill Keyword Set with that Primary Keyword Type in OnBase, each instance set of that Primary Keyword Type in the import text file will keep updating the same set in the system. Each subsequent item in the text file will override the previous during the import process.

CAUTION:

See Remove All AutoFill Keyword Sets Not Found in File for settings to avoid having duplication of data when you are using Primary Keyword Types for multiple AutoFill Keyword Sets.

Note:

If you also select Remove all AutoFill Keyword Sets not found in file, any AutoFill Keyword Set data that exists in OnBase but not in the file will be deleted from the system. Ensure you fully understand that setting before running a process. See Remove All AutoFill Keyword Sets Not Found in File for more information.
