Ensure that you complete the following steps when setting up AutoFill Keyword Sets:

  1. Configure the Keyword Types. For more information, see Configuring Keyword Types.
  2. Configure the AutoFill Keyword Set. For more information, see Configuring the AutoFill Keyword Set.
  3. Configure the Document Type. For more information, see Configuring the AutoFill Keyword Set.
  4. Associate the AutoFill Keyword Set to the Document Type(s) one of two ways, depending on your configuration needs.
    • Associate an AutoFill Keyword Set at the Document Type Level if you want to assign only one AutoFill Keyword Set to the Document Type. Assign it along with its Keyword Types to the Document Type during Document Type configuration. See Configuring the AutoFill Keyword Set.

    • Associate an AutoFill Keyword Set at the Keyword Type Level if you want to assign more than one AutoFill Keyword Set to a Document Type. You must assign the Primary Keyword Types of each set to a pre-configured AutoFill Keyword Set during Keyword Type Configuration. See Configuring Keyword Types.

    Note:

    If you want the same Primary Keyword Type to be assigned to more than one AutoFill Keyword Set, you must set at least one at the Document Type level. They both cannot be set up at the Keyword Type level.

    Note:

    If you want to assign one AutoFill Keyword Set to more than one Document Type, you can associate the AutoFill Keyword Set at the Keyword Type level or the document level (Document Type level only if it is the only AutoFill Keyword set for the Document Type).

    Note:

    AutoFill Keyword Sets associated at the Document Type level will override AutoFill Keyword Sets associated at the Keyword Type level.

  5. Unless this AutoFill Keyword Set will be an External AutoFill Keyword Set, import the AutoFill Keyword Set values into OnBase. From OnBase, import the AutoFill Keyword Set values into OnBase one of several ways:
    • Configure an AutoFill Keyword Processor for importing AutoFill Keyword Set Values into OnBase. For more information, see Configuring the AutoFill Keyword Processor.

    • Use the Store AutoFill Keyword Set Data option from a processor module, such as DIP, COLD, TIP, or PCL. You must be licensed for the module in order to use the Store AutoFill Keyword Set Data option.

      Note:

      The Store AutoFill Keyword Set Data option is only intended for single instance keywords.

    • Manually Add the information using the AutoFill Keyword Set Manager option Add Set.

      Note:

      If this is an External Keyword Set, ensure you configured the External Settings correctly when configuring the AutoFill Keyword Set.

  6. If this is an External Keyword Set, configure the settings that provide communication information to the external database. For more information, see Configuring External AutoFill Keyword Sets.
  7. Configure the AutoFill Keyword Processor. For more information, see AutoFill Keyword Processor.
  8. Import the AutoFill Keyword Set Data Values using the Import Processor. For more information, see Configuring the AutoFill Keyword Processor.
