Signing a document ensures that the document has been approved by a user with signing capabilities and rights to the document. Digital signatures are applied and authorized using X.509 digital certificates, which are configured by your OnBase administrator.

Note the following considerations for signing a document:

  • The signature cannot be removed.

  • The date and time on the signature is that of the database server, not the workstation.

  • Depending upon the file size of the selected certificate, you may be limited in the number of times you can sign a document.

  • Unity Forms are not supported for use with the Digital Signatures module. A certificate applied to a Unity Form does not ensure the integrity of the document.

CAUTION:

If a note, redaction, burned markup, or deficiency is not in the location you expect, do not save or sign the document until the location has been corrected by your system administrator. When the document is saved or signed, the pending redaction, burned markup, or deficiency is permanently placed in the shifted location. The shifting of notes that do not permanently alter the document can be corrected any time by your system administrator.

To sign a document:

  1. In the Web Client, right-click an open document in the Document Viewer or a document in a Document Search Results list, and select Digital Signatures | Sign Document. The Select Certificate dialog box is displayed.
    Note:

Depending on your system configuration, you may not be able to sign a document from the Document Search Results list. You may need to open the document to sign it.

  2. Select a certificate.
  3. Click OK or Sign Document. The digital signature is applied to the document.
  4. Click Close to exit the Select Certificate dialog box.
