Signing a document with a certificate ensures that the file has been approved by someone with signing capabilities and rights to the document.

When you sign a document:

  • The signature cannot be removed.

  • The date and time reflected on the signature will be that of the database server, not the workstation.

  • Depending upon the file size of the certificate chosen, you may be limited to the number of times you can sign a document.

Note:

Unity Forms are not supported for use with the Digital Signatures module. A certificate applied to a Unity Form does not ensure the integrity of the document.

CAUTION:

If a note, redaction, burned markup, or deficiency is not in the location you expect, do not save or sign the document until the location has been corrected by your system administrator. When the document is saved or signed, the pending redaction, burned markup, or deficiency is permanently placed in the shifted location. The shifting of notes that do not permanently alter the document can be corrected any time by your system administrator.

To sign a document:

  1. Do one of the following:
    • Select one or more documents from the Document Search Results list.

      Note:

      Depending on your system's configuration, you may not be able to sign a document from the Document Search Results list. You may need to open the document to sign it.

    • Open a document you would like to sign.

  2. Sign the document by doing one of the following:
    • Right-click and select Digital Signatures | Sign Document.

      Note:

      You cannot sign an open OLE or PDF document using this method. To sign an open PDF document, click the Document Options icon (located in the upper-left corner of the document viewer) and select Digital Signatures | Sign Document, or use one of the methods below.

    • Select Document | Digital Signatures | Sign Document from the OnBase Client menu.

    • Click the Sign Document toolbar button:

    Note:

    If a document is displayed in the Document Viewer, it can only be signed when the focus is on the viewer. An error message is displayed if you attempt to sign an open document when the focus is not set to the viewer.

  3. Select a certificate if a default certificate has not been chosen prior to signing the document.
  4. Enter your OnBase login password, if required.
    Note:

    Your system administrator may require an extra password validation.

  5. The signature is applied.
