The Document Tracking User Group privileges in the Configuration module allow users to access different functionality in Document Tracking.

To access the Document Tracking User Group privileges:

  1. From the Configuration module, select Users | User Groups / Rights.
  2. Click the Document Tracking button from the User Groups & Rights dialog box.

    The Document Tracking Privileges dialog box is displayed.

  3. Assign one or more of the following privileges to the appropriate User Groups:

    Privilege

    Description

    View Layout

    Allows users to access the Document Tracking layout in the Unity Client.

    Override Date

    Allows users override and modify configured expected date and expiration settings for a Document Type contained in a Document Tracking Folder Type.

    Note:

    Users must also be assigned the View Layout privilege to access the override functionality.

    Assigned Folders Only

    Allows users to only be able to view Document Tracking folders that are assigned to them.

    Can Assign Folders

    Allows users to assign a Document Tracking folder to other users.

    Note:

    Users must have permission to view a Document Tracking folder they want to assign to other users.

    Document Tracking Admin

    Allows users to:

    • Create a Document Tracking folder by submitting a Virtual E-Form.

    • Reactivate Document Tracking folders that were previously marked as inactive.

    Note:

    Users must also be assigned the View Layout privilege to access the administrator functionalities.

    Note:

    The Assigned Folders Only and Can Assign Folders options are deselected by default. When both of these options are left deselected, users are able to view all folders but are unable to assign folders to other users.

  4. Click OK.
