To create a new notification:

  1. Perform one of the following tasks:
    • From the Start Page, click Create Notification.

    • In the Notifications ribbon, click New.

      The New Notification wizard is displayed:

  2. Depending on the type of notification you want to create, choose one of the following options:
    • Formatted- Allows you to create notifications with formatted text, images, and hyperlinks.

    • Plain Text- Allows you to create legacy notifications with no text formatting.

  3. The What do you want to name the notification? screen is displayed.
  4. Enter a unique name for the notification in the Name field.
    Note:

    Notification names are limited to 49 characters.

  5. In the What life cycle should this notification be associated with? drop-down list, select a life cycle, or choose <Any> to set this notification as a global notification that is not scoped to a specific life cycle.
  6. Click Next. The Summary is displayed. Review the details to determine if modifications to the notification are needed. If modifications are needed, click Previous to return to the previous screen.
    Click Cancel to close the wizard without creating a new notification.
  7. Once the settings for the notification are correct, click Finish to create the notification.

    The notification editor is displayed:

    The notification editor is an editor that allows you to design a notification using the Notifications ribbon menu. Upon creation, formatted notifications are marked with (Draft) in the title tab of the editor. Plain text notifications will not have a (Draft) label in the title tab.

  8. Click Document Tracking. The What style of notification would like to create? screen is displayed.
  9. Depending on the type of notification you want to create, choose one of the following options:
    • Formatted- Allows you to create notifications with formatted text, images, and hyperlinks.

    • Plain Text- Allows you to create legacy notifications with no text formatting.

  10. The Which folder type should the notification be associated with? dialog box is displayed.
  11. Select a Folder Type from the Folder Type drop-down select list.
  12. If you are configuring Document Tracking for use with an institutional database and you are an institutional super user, the Which Institution should the notification be associated with? drop-down select list is available. Select an institution.
    Note:

    Creating a Document Tracking notification for all institutions is not supported.

    If you are not configuring Document Tracking for use with an institutional database, or you are not an institutional super user, skip this step.

  13. Select a notification type from the Which type of document tracking notification would you like to create? drop-down select list.
    1. If no notifications have previously been configured for the selected Folder Type, the only option is to create a Main Notification.
    2. If a Main Notification has already been created for the selected Folder Type, only notification fragments can be created. The following options are available:
      • Folder Noncompliant- Triggered when a folder has a documentation status of Noncompliant.

      • Document Late- Triggered when a folder contains a Document Type with the status of Late.

      • Document Expires Soon- Triggered when a folder contains a Document Type with the status of Expires Soon.

      • Document Expired- Triggered when a folder contains a Document Type with the status of Expired.

      Note:

      If a notification fragment already exists for a Main Notification, that notification fragment type is not available in the drop-down select list. Duplicates of notification fragments cannot be created.

  14. Click Next. The Summary is displayed. Review the details to determine if modifications to the Main Notification or notification fragment are needed. If modifications are needed, click Previous to return to the previous screen.
    Click Cancel to close the wizard without creating a new notification.
  15. Once the settings are correct, click Finish to create the Main Notification or notification fragment.

    Note:

    For plain text notifications, most options in the Notifications ribbon menu are disabled, as text formatting cannot be added to plain text notifications.
