By default, Document Types configured as optional are not tracked. This means if a document for an optional Document Type has not been imported, it does not affect the compliance Documentation Status of the folder. Depending on your configuration, optional Document Types may be configured to only be displayed when a document from the Document Type exists in the folder.

By selecting an optional Document Type to track, you are choosing to:

  • Include that Document Type in determining the compliance of the folder. From this point on, the due date of the optional Document Type is displayed and tracked.

  • Always display the Document Type for that folder in the Document Tracking interface, regardless of whether the document has been imported.

To track optional Document Types:

  1. From the Documents layout, right-click the folder you would like to track optional Document Types in.
  2. Select Track Documents.

    The Track Documents dialog box is displayed:

  3. Select a Document Tracking child folder from the drop-down list.
  4. Select or deselect Tracked for each optional Document Type.
    Note:

    Tracking for required Document Types cannot be deselected.

    Only Document Types you have rights to are displayed. See your system administrator for more information.

  5. Click OK. The Document Types are now displayed and tracked in the Document Tracking layout, and the folder Documentation Status is updated appropriately (if necessary).
