Document templates are OLE documents that are stored in the OnBase Document Type SYS Document Template. A document template provides a base document that can be altered and stored as a new document. OLE documents and documents created with ODMA-compliant programs can be used as document templates. Microsoft Excel documents can also be used as document templates.

Note:

PDF files are not supported with document templates.

Before configuring a document template, you must import a document you wish to use as a template into the SYS Document Templates Document Type. After importing and configuring a document template, you can modify it and save it as a revision.

You can work with document templates in the Web Client using the Office Business Application modules. Document templates can only be used in the Web Client with a supported version of the Office Business Application if the module is installed using the standard executable installer (MSI).

CAUTION:

When creating document templates, use Word or Excel files with non-template file extensions (for example, .doc, .docx, .xls, .xlsx). Do not use Word (.dot or .dotx) or Excel (.xlt or .xltx) templates. Word or Excel template file extensions are not supported when working with the Microsoft Office Compatibility Pack.

To configure a document template in the Configuration module:

  1. Select Document | Document Templates.

The Document Template Settings dialog box displays.

  2. Enter a Document Template Name and click Create.

The Template Configuration dialog box displays.

    Note:

You can also access this dialog box by clicking the Settings button in the Document Template Settings dialog box.

  3. Select the Document Type with which the template will be associated from the Document type drop-down list.
  4. Select the template from the Template doc drop-down list. These templates were imported initially into the SYS Document Templates Document Type in the Client.
    Note:

If you are licensed for the Document Composition module, the templates used by this module are also stored in the SYS Document Templates Document Type. These templates contain COMPOSITION TEMPLATE in the Auto-Name string.

  5. Click Do not allow save to alternate document type or file format to prevent end-users from changing the initial Document Type or file format that the template was assigned.
  6. Click OK to save the settings.

The Assign User Groups to Document Template dialog box displays automatically.

    Note:

You can also access this dialog box by clicking the User Group button in the Document Template Settings dialog box.

  7. Select user names from the Available list and click Select to add them to the Selected list.
  8. Remove users by selecting user names from the Selected list and click Remove to add them back the Available list.
  9. Click Close to complete the document template configuration.
