Image markups allow you to apply comments in the form of graphics or text to an open image document. If you have sufficient privileges, you can permanently save these comments to a new revision of the document.

CAUTION:

If a note, redaction, burned markup, or deficiency is not in the location you expect, do not save or sign the document until the location has been corrected by your system administrator. When the document is saved or signed, the pending redaction, burned markup, or deficiency is permanently placed in the shifted location. The shifting of notes that do not permanently alter the document can be corrected any time by your system administrator.

Note the following considerations for using image markups:

  • You must have sufficient privileges to use image markups.

  • You can add and save image markups on only the most recent revision of a document. Notes and annotations are not transferred to subsequent revisions.

  • Image markups cannot be added to a document that is currently locked.

  • You can apply image markups only to a document belonging to a Document Type that is configured both to allow multiple revisions and to allow image markups.

    Tip:

    Ask your system administrator whether a Document Type allows image markups.

  • Image markups can only be applied to documents with Image or Image Rendered PDF file formats.

  • If you save image markups to a document with an Image Rendered PDF file format, the document is converted to Image file format and can no longer be saved in its native or original PDF format.

You can display the Markup toolbar in the OnBase Client using any of the following methods:

  • Select User | Toolbars | Markup Toolbar.

  • Retrieve an image document from a Document Type configured for image markups. Right-click on the document and select Open Markup Toolbar.

  • Right-click the toolbar area and select Markups.

  • Right-click the Client desktop and select Markup Toolbar.

The Markup toolbar remains displayed for all documents, but is only functional for image documents belonging to an appropriately configured Document Type. Ask your system administrator whether a Document Type allows image markups.

Note:

If you apply color markups to a document that is stored as a bitmap, JPEG, or PNG, the markups may appear slightly distorted when saved. The integrity of the original document is maintained.

The following table describes the tools and buttons available from the Markup toolbar:

Note:

Markup properties you select in the Markup toolbar are automatically saved. For example, if you select the Checkmark Tool and then select the color red, the Checkmark Tool color defaults to red next time you select it. These changes are reflected in the Unity Client as well.

Select Markup

Allows you to select any markups you added during the current viewing session. You cannot select markups that have been saved to the document.

Rectangle Tool

Click to mark up an area in the document with a rectangle shape. The rectangular area has the same color selected in the Color Tool.

Ellipse Tool

Click to mark up an area in the document with an outline of an ellipse. The outline color is the same as the color selected in the Color Tool. The thickness is the thickness selected in the Line Thickness Tool.

Line Tool

Click to mark up an area in the document with a line. The line color is the same as the color selected in the Color Tool. The line thickness is the same as the thickness selected in the Line Thickness Tool.

Arrow Tool

Click to mark up an area in the document with an arrow. The arrow color is the same as the color selected in the Color Tool. The arrow thickness is the same as the thickness selected in the Line Thickness Tool.

Text Tool

Click to mark up an area in the document with a text box, which allows you to enter text into an image document. You may also format the text by selecting it and using the font formatting tools in the Image Markup Toolbar.

After you have finished typing within a text box, click outside of the text box to apply the text to the document.

Revision Tool

Click to mark up an area of an image document with a text box that contains a revision number, which can be used as the revision identifier of the document. Format the text using the available font formatting tools in the Image Markup Toolbar. The first revision number applied is 2. The Revision Tool's text box has an opaque white background. When markups are saved, the white background covers any underlying text.

Checkmark Tool

Click to apply checkmarks to a document. With this tool selected, click anywhere on the document where you want a checkmark displayed. The checkmark color is the same as the color selected in the Color Tool.

Freehand Tool

Click to draw a freehand line on the document. The Freehand Tool simulates writing on the document with a pen. The color is the same as the color selected in the Color Tool. The thickness is the same as the thickness selected in the Line Thickness Tool.

Go To Next Markup

Click to go to the next image markup in the document. The order that this navigation tool takes follows the order in which the markups are created. It has nothing to do with the markup's position in the document.

For example, if no markup is selected, the first markup created in the document will be selected. If a markup is selected, clicking this button will move the cursor selection to the markup created directly after the selected markup.

Color Palette

Click to display a color palette that allows you to customize the colors to make available from the Color Tool. The selected colors are available in the Color Tool during the current OnBase session. When you exit OnBase, custom colors are not retained. The next time you start OnBase, you must select the custom colors again.

Bold Text

Click to format the text inside the text box as a bold typeface. Text boxes can be created with the Text or Revision Tool.

Italic Text

Click to format the text inside the text box as an italics typeface. Text boxes can be created with the Text or Revision Tool.

Underline Text

Click to underline the text inside a selected text box. Text boxes can be created with the Text or Revision Tool.

Color Tool

Click to select the color that is applied to the other image markup tools. Five colors are available by default. You may change these colors using the Color Palette.

Line Thickness Tool

Click to select the line thickness that is applied to the markups created with the Ellipse Tool, the Line Tool, and the Arrow Tool.

Font Type

Click to select the font type to apply to the text inside the text box markup (created using the Text or Revision Tool).

Font Size

Click to select font size to apply to the text inside the text box markup (created using the Text or Revision Tool).

Undo

Click to undo the creation of the last markup.

Delete

Click to delete the selected markup.

Clear All

Click to remove all image markups on a document. You are prompted to confirm that you want to remove all image markups on a document.

Save

Click to save all markups in a document and to create a revision with the image markups burned into the document permanently.
