Express Scanning can be used to Print to OnBase(i.e., to capture documents printed by the Virtual Print Driver in order to, depending on your configuration, classify, index and upload the document to OnBase).

Note:

This requires that your OnBase solution be licensed for the Virtual Print Driver and that the Virtual Print Driver is installed and configured on an Express Scanning workstation.

Your Print to OnBase solution may be configured to run in interactive mode or non-interactive mode.

  • Non-Interactive Mode. In this configuration, Express Scanning is configured to run as a service. Documents that are printed by the Virtual Print Driver are captured by the Hyland Express Scanning Listener Service and are automatically classified and uploaded to OnBase without any user intervention. The Express Scanning client does not need to be open on the Express Scanning workstation.

  • Interactive Mode. In this configuration, the Express Scanning client, when running on the Express Scanning workstation, is configured to automatically detect and capture documents printed by the Virtual Print Driver.

    You are given the option to select a Document Type button for the captured document, or, depending on your configuration, a button may automatically be selected.

    Depending on the Document Type button's configuration, you may be prompted to select a Document Type and/or enter Keyword Values for the document.

    Once this information is entered, the document is automatically uploaded to OnBase.

To Print to OnBase:

  1. Print a document using the Virtual Print Driver as your selected printer.
    Note:

    For more information on printing documents using the Virtual Print Driver, see the Virtual Print Driver documentation.

  2. The Express Scanning client automatically detects that the Virtual Print Driver has printed a document. Depending on your configuration:
    • The document may be automatically associated with a Document Type button.

      Depending on the Document Type button's configuration, you may be required to select a Document Type or enter Keyword Values for the document before it is uploaded, or it may just be uploaded OnBase. During the upload, a progress bar is displayed in the Express Scanning client, but no user interaction is required.

    • If your Express Scanning solution is not configured to automatically associate documents printed via the Virtual Print Driver with a Document Type button, then the New Document dialog box is displayed, the document is displayed in the Express Scanning client's Document Viewer, and a notification is displayed in the Task Bar.

  3. Click OK to close the New Document dialog box and the task bar notification.
  4. From the Express Scanning client, select the Document Type button that you would like to associate the displayed document with.
  5. Depending on your configuration, the Select Document Type dialog box may be displayed, prompting you to select a Document Type to associate with the document, or one or more Keyword Value Input dialog boxes may be displayed prompting you to enter a Keyword Value.
    If these dialog boxes are displayed, enter the necessary information and click OK.
  6. The document upload is automatically initiated. A progress bar is displayed in the Express Scanning client, but no further interaction is required.
