Before you begin, ensure you have a valid email client configured to use on your workstation. Also, from the OnBase Client, ensure External Mail Services is enabled for your workstation:

  1. Do one of the following:
    • Select User | Workstation Options.

    • Right-click the OnBase Client module desktop and select Workstation Options.

    The Workstation Options dialog box is displayed.

  2. Click the Email tab.
  3. Select the Enable External Mail option if it is not already selected.
  4. Select the mail system you would like to use with External Mail Services.
    Note:

    For more information on these options, see your system administrator.

    Native Mail System Option

    Description

    Active Messaging (CDO)

    Enables use of Active Messaging as the native mail system.

    Automatic Selection

    Enables automatic selection of your email client.

    Tip:

    This option is helpful if you are only using one email client. If you are using more than one email client, you should specify which client you would primarily like to use by selecting another option.

    GroupWise

    Enables use of Novell GroupWise as the native mail system.

    Lotus Notes

    Enables use of IBM Lotus Notes as the native mail system.

    MAPI

    Enables use of MAPI as the native mail system (e.g., Microsoft Outlook).

    SMTP / POP3

    Enables use of SMTP / POP3 as the native mail system.

    Use Native Mail Dialog

    Select this check box if you would like to display the message in the format set by the Native Mail System. If not selected, the OnBase Mail Message dialog box is displayed upon initiating External Mail Services.

    The additional items should also be noted:

    • If this option is not selected and HTML is the default format for messages, the body of notifications may not be populated correctly. It is a best practice to set the default format to Plain Text or Rich Text to ensure that notification messages from OnBase are populated correctly.

    • If you are using IBM Lotus Notes as your email client, you must select the Use Native Mail Dialog option in order to use email notifications.

    • This option is not available if Novell GroupWise is set as the Native Mail System. External Mail Services must use the OnBase Mail dialog box when working in conjunction with GroupWise. If this option was previously selected on a system working in conjunction with GroupWise, the check box remains selected, but grayed out. It is ignored by the system.

  5. Click OK. External Mail Services is enabled on your workstation.
