The OnBase Patient Window supports the use of clinically relevant dates to place documents on a timeline.

You can configure how OnBase assigns clinically relevant dates for each medical record Document Type. For example, you might want lab tests to use the sample date, while discharge summaries might use the discharge date.

Each Document Type can have an ordered list of clinically relevant dates. This way, if a document does not have a value for the first date in the list, OnBase can attempt to assign the document the second date in the list.

Note:

By default, the Document Date is the clinically relevant date for each medical record Document Type. If OnBase cannot determine the clinically relevant date for a document based on the Clinically Relevant Date Configuration, the Document Date will be used.

To configure clinically relevant dates for a Document Type:

  1. Select Medical | Context Configuration | Clinical Date Configuration. The Clinically Relevant Date Configuration dialog box is displayed.
  2. Select a Document Type Group from the drop-down list to filter the list of available medical record Document Types.
  3. Select a Document Type.
  4. Click Settings. The Clinically Relevant Date dialog box is displayed.

    Available dates can come from several sources. Knowing the source is helpful, because chart documents can have date values of the same type from different sources.

    Description

    Chart Data

    Uses the date value from the chart the document is attached to.

    Document

    Uses the date value from the document metadata (for example, the document's Date Stored or Document Date).

    Keyword

    Uses the date value from the keyword on the document.

  5. Select one or more dates from the left pane.
  6. Click Add.
  7. Use the Move Up and Move Down buttons to order the dates in the right pane. This controls the order in which OnBase checks for and assigns a clinically relevant date to each document.
  8. Click Save. A dialog box is displayed, asking you to schedule a job to update the selected Document Type with the new clinically relevant date configuration. If you have not created a Medical Records Relevant Date Updater task in the Unity Management Console, see Creating a Relevant Date Updater Task.
  9. Click Yes. The Select a task dialog box is displayed.
  10. Use the drop-down list to select the Unity Scheduler task to process the update job.
  11. Click OK.
