Available options for External Transcription and Deficiency Processing are described in the following table:

Option

Description

Default [Document Type]

Select the default Document Type to assign to transcription documents created by this message action. Only Document Types with a default file format of Text Report Format are available.

Note:

Do not assign the SYS Unidentified Items Document Type to this message action. If this Document Type is assigned, then the import process will not work in the OnBase Client.

Map Document Types

Click to assign Document Types or file formats based on values in the HL7 messages. See Mapping Document Types for External Transcriptions for more information.

View/Edit Document Type

Click to view or modify configuration settings for the selected Document Type.

Deficiency Type

(Available only on systems licensed for the Medical Records Management Solution.) Select the Deficiency Type to be created by this import process.

If the default Document Type is configured as an editable transcription, both Missing Signature and Edit Transcription are available. If the Document Type is not configured as an editable transcription, only Missing Signature is available.

Tip:

Create multiple import processes to assign different Deficiency Types depending on the application that sends the HL7 message. For example, if Missing Signature deficiencies should be created only for messages from the TestApp application, specify TestApp's HL7 code in the import process's Sending Application field.

Message Template field settings

Shows the HL7 fields that are currently mapped to the required chart data fields and to the revision date. Each chart data field, except for Signing physician ID, must be mapped to an HL7 field.

If the Ignore Procedure Date for Matching setting is enabled, then the Procedure date does not have to be mapped to an HL7 field.

Note:

Revision Date is not a chart data field. See the following description for the Revision Date setting.

Revision Date

If the predefined $$DOCREVDATE value is mapped to an HL7 field in the selected Message Type, then the Revision Date setting displays the mapped HL7 field.

When a $$DOCREVDATE value is configured, the HL7 Listener uses the revision date on the incoming revision to determine whether it is newer than the existing revision.

  • Messages handled by this import process must contain a valid date in the $$DOCREVDATE field. Otherwise, the message will not be processed, and the HL7 Listener will report an error.

  • A Document Type for archiving replayed transcriptions must be configured under Medical | HL7 | HL7 Settings. Otherwise, this import process will not load.

Ignore Procedure Date for Matching

Select if the procedure date should not be used to find matching deficiencies.

  • If this option is not selected, then the HL7 message must contain a procedure date for the -MRMSANALYSIS server to complete the deficiency. If no procedure date is provided, then the HL7 Listener logs an error.

  • If this option is selected, then no procedure date is required, and the -MRMSANALYSIS server will not use the procedure date to find the matching deficiency.

If there are multiple matching deficiencies, then the -MRMSANALYSIS server either completes one of the deficiencies, or it logs an exception to the deficiencyexcept database table in OnBase. For more information, see Exceptions Logged During External Transcription Processing.

Delete external document reference (Use for MDM^T11 messages)

Select to use this import process to cancel a transcription that was assigned to the wrong patient or contained incorrect patient data. Deleting the external document reference allows the transcription to be sent to OnBase again and assigned to the correct patient.

Use this option with MDM^T11 messages (Document Cancel Notifications). An MDM^T11 message template can be created as a copy of the MDM^T01 template included with your OnBase installation. For more information, see Copying Message Templates.

Note:

The transcription document itself is not deleted from OnBase by this import process.

Wrap long text lines

Select to wrap lines of text that exceed the Document Type's Character Per Lines setting. For information about this option, see Wrapping Long Text Lines.
