Index extraction extracts Keyword Values from documents of selected Document Types after data is processed into OnBase. Document numbers can also be extracted. Extracted index values can be placed in a separate text file for viewing or manipulation by other programs. An Index Extraction Format must be configured to extract Keyword Values from documents.

To add a new Index Extraction Format:

  1. In the OnBase Configuration module, select Document | Index Extraction. The Index Extraction dialog box is displayed.
  2. Type the name of the new format into the field below the Formats list and click Create. The Index Extraction Settings dialog box is displayed.
  3. In the File Path and Name field, enter the file location and name of the index extraction file to be created. For example, C:\FilePath\FileName, where FilePath is the path to the directory and FileName is the name of the index file to be created.
  4. If needed, select the following options:

    Description

    Export Document Handle

    Includes the Document Handle number of the document as the first Keyword Value in the index extraction file.

    Export Document Date

    Includes the Document Date of the document as the first Keyword Value in the index extraction file.

  5. Click Save.
  6. From the Index Extraction dialog box, click Doc. Types. The Document Types dialog box is displayed.
  7. From the Available list, select the Document Types with Keyword Values you want extracted to an index file and click Add. The selected Document Types are added to the Selected list.
    Tip:

    You can remove Document Types from the Selected list by selecting them and clicking Remove.

  8. From the Selected list, select a Document Type and click Keywords. The Keyword Types dialog box is displayed.
  9. From the Available list, select the Keyword Types with Keyword Values you want extracted from the document and click Add. The Keyword Types are added to the Selected list.
    Tip:

    You can remove Keyword Types from the Selected list by selecting them and clicking Remove.

    The order of the Keyword Types determine the order of the Keyword Types listed in the index file. To change the order of the Keyword Types, select a Keyword Type and click Move Up or Move Down.
  10. Click Close to save your changes.
  11. Click Close.
