In an institutional database, the value stored for the Institution # Keyword restricts document access. Data entry into this field is not restricted on an institutional basis in either the Add/Modify Keywords dialog box or the Re-Index Document dialog box. Any value can be entered for Institution #, but the subsequent retrieval of that document is restricted by that value. For any document, if an institution number entered for the Institution # keyword that the user does not have access to, the user will no longer be able to access the document. If the user needs to access the document, a super user needs to assign the Institution # keyword value to an institution that user has access to.

AutoFill Keyword Sets also do not restrict data entry into any field, including the Institution # Keyword. However, the subsequent retrieval of that document is restricted by the value entered for Institution #.

Note:

An AutoFill Keyword Set will not update Keywords on existing documents in an Institutional Database environment if the primary Keyword is a Multi-Instance Keyword Type.
