Note: The user account performing the send to Brainware function must belong to a user group with the Create Revisions privilege. Without this privilege, the user is unable to check out the document and therefore cannot export it to Brainware. For more information on creating User Groups and assigning privileges, see the System Administration documentation.

To configure a custom capture process to send images to Brainware using the Brainware Integration status step:

  1. In OnBase Studio, select the Capture Process tab in the Repositories pane. This tab lists the scan queues enabled for custom capture processes.
  2. Within the Capture Process tab, open the scan queue and capture process to be used for the Integration for Brainware. The capture process is displayed in the design view pane.
  3. Drag the Brainware Integration status step from the Toolbox pane to the design view pane.
  4. The Brainware Integration status step is displayed in the design view pane. The focus is set to the Brainware Integration status step, and the sub-options for Brainware Integration are displayed on the General tab in the Properties pane.
  5. Enter a shared UNC path into the Location field, or click Browse to navigate to the directory. This UNC path is the directory to which OnBase will export images and from which your Brainware solution will import images.
  6. Use the drop-down list under File Name Parts to compose the structure of the file name that will be created for each image in the document set. The structure of the file name must match the structure designated in you Brainware solution.
    • The Document ID must be included in the file name. To include the Document ID in the file name, select Document ID and click Add.

      Note:

      When sending images to Brainware Intelligent Capture, the Document ID attribute must be included as the first portion of the file name.

    • To include the Batch ID in the file name, select Batch ID and click Add.

    • To include the Page ID in the file name, select Page ID and click Add.

    • To include a static value in the file name, such as a Client ID, select Static and enter the value to be included in the file name into the field that is adjacent to the Add button. Then click Add.

      To include a Keyword Value present on the image to be processed by your Brainware solution in the corresponding file name, set Static to %K<Keyword Type ID>, where <Keyword Type ID> is the Keyword Type ID number for the corresponding Keyword Type.

    • To separate the constituent elements of the structured file name, enter the Delimiter that will separate the elements into the Delimiter field.

    An Example File Name is displayed.

When you have finished configuring the options available under the Send to Brainware heading, configure the options required to update OnBase from your Brainware solution.
