The Integration for D+H Phoenix Document Storage component is available from Adobe Reader or Acrobat and has the following capabilities:

  • Converting a PDF to an image.

  • Capturing all of the required signatures with a signature pad.

  • Rendering the signatures on the document.

  • Previewing the signatures on the document.

  • Printing the document.

  • Storing the signed document in OnBase.

To use the Document Storage component:

  1. From Adobe Reader or Adobe Acrobat, select Document | Launch Signature Process or click the Launch Signature Process toolbar button:
    Note:

    If the toolbar button is not available, enable it by selecting Tools | Customize Toolbars and clicking Launch Signature Process.

    The PDF is converted to an image file. When conversion is complete, the Progress Status dialog box is displayed and the Integration for D+H Phoenix connects to the OnBase Application Server to verify that the database is properly licensed.
    Tip: To close the Progress Status dialog box, press ALT+C.
  2. If the form requires signatures, the Signature Capture dialog box is displayed:
    Note:

    HHP signature pads do not support signature preview. If you are using an HHP signature pad, the signature preview area in the Signature Capture dialog box will not be displayed.

  3. The user signing the document must do one of the following:
    • If Sign is displayed, sign your full signature.

    • If Initial is displayed, sign only your initials.

    Note: The name of the user signing the form and a description of the signature may also be displayed.
  4. Once signed, the user signing the document must do one of the following:
    • If the signature is acceptable, click OK on the signature pad. A submission confirmation message is displayed.

    • If the signature needs to be redone, click Clear on the signature pad and sign again.

    • To cancel the entire process, click Cancel in the Signature Capture dialog box.

  5. The user accepting the document must do one of the following:
    • If the signature is acceptable, click OK.

    • If the signature is unacceptable, click Cancel and sign again on the signature pad.

  6. Add all required signatures as needed. The captured signatures are automatically burned into the image and the Document Preview dialog box is displayed.
  7. Use the following functionalities to review the signed document:

    Fit to Window

    ALT+F

    Fit to Window resizes the document page so that its height is the same as the height of the document display area.

    Previous Page

    ALT+P

    Previous Page displays the preceding page of a multi-page document.

    Next Page

    ALT+N

    Next Page displays the following page of a multi-page document.

    A page label displays the current page number and the total number of pages in the following format: Page: <Current Page #> / <Total Pages>.

  8. The user accepting the signatures must do one of the following:
    • Click Approve or press ALT+A to approve the document. The document is printed to the default Windows printer on the workstation and is stored in OnBase.

    • Click Cancel or press ALT+C to discard the document. A confirmation message is displayed.

      Tip: If an error occurs during the signature process, you can display error information by pressing ALT+E.
