Depending on your system's configuration, you may be able to import documents accessible to the workstation via local path or UNC path into OnBase from the web mapping application.

The documents will be dynamically linked to the selected map feature(s), and, depending on your system's configuration, attributes from the selected map feature may be used to automatically assign and populate Keyword Values to index the imported documents.

To import documents into OnBase:

  1. Select one or more map features from the web mapping application. The documents you import will be mapped to the selected feature(s).
  2. From the Actions section of the OnBase pane, select the Import icon. The Import window is displayed.
    Note:

    The Import icon may be disabled if the map features you have selected are not configured for import, or if your user account does not have permission to import documents. Contact your system administrator if you have questions about importing documents.

  3. Select a Document Type from the Document Type drop-down list. Once a Document Type is selected, its Keyword Type fields are displayed.
    CAUTION:

    The imported documents will only be linked to the feature layers that have been configured for the selected Document Type. For example: A user selects multiple features - Parcel, Tree, and Street. The user attempts to import a document into the PublicParks Document Type, which is only configured for the Tree feature layer. Because of this, the document will only be linked with the selected Tree feature layer in the web mapping application - it will not be associated with the selected Parcel or Street features.

  4. Enter any required Keyword Values for the documents being imported. Required Keyword Types are displayed in red.
    Note:

    Depending on your system's configuration, some Keyword Values may have already been populated with attributes from the selected map feature.

  5. Click on the Choose Files button and browse out to the documents to be imported. The documents will be added to the Document Queue list.
  6. Click the Import button. The documents will be imported into your OnBase system, and will be dynamically linked to the selected map feature(s) in your web mapping application.
    Note:

    If import fails for a document, that document will be displayed in red text in the File list. Click the Clear file(s) button to remove the document from the File list.
