Indexing Options

Description

Keep Keywords

When this option is selected, the Keyword Values from the previously-indexed document are retained and applied to the current document if both documents are of the same Document Type and the documents are scanned or swept in No Index scan mode.

If this option is not selected, or if the Document Type of the current document is changed, the Indexing dialog box is reset and all Keyword Values carried over from previous document(s) are lost.

Auto-Save Image Rotation

When this option is selected and a document is rotated during indexing, the image is automatically saved in OnBase with that rotation setting.

If this option is not selected, you can manually save a document with the indexing rotation by right-clicking on the document and selecting Save Rotation or by using the Save Rotation Client toolbar button.

Force Document Type Selection

When this option is selected, users must select the Document Type each time a document is indexed.

If this option is not selected, the previously-used Document Type is carried forward to the next document to be indexed.

Note:

This option cannot be used in conjunction with the Keep Keywords indexing option.

Tip:

This option helps reduce errors and is particularly helpful if multiple Document Types have the same Keyword Types, making it easy for an operator to forget to choose the correct Document Type during indexing.

Date Options

When the Maintain User Specified Document Date Always option is selected, the Clinic Date is carried forward to the next document to be indexed.

If this option is not selected, the Clinic Date reverts to the current date for each new document.

When the Initialize Date Entry Field to Document Date While Indexing option is selected, and the document being indexed has been assigned a Clinic Date (i.e., the default date specified at the time of scanning), then the Clinic Date field will be populated with the date assigned at the time of indexing.

If this option is not selected, or if the document being indexed has not been assigned a Clinic Date, then the Clinic Date field will be populated according to the status of the Maintain User Specified Document Date Always option.
