Integration for Microsoft Outlook 2019 can use the following System Keyword Types to index your documents.

Note:

If the Use Local Time for Mail Date Keywords Global Client Setting is not selected, time and date keywords are stored in UTC (Coordinated Universal Time) format.

System Keyword Type

Description

MAIL Attachment Count

The number of email attachments.

MAIL Attachment Name

The value contained in the name of the email attachment or file.

Note:

Illegal characters in attachment names are replaced with acceptable alternatives. For more information, see Illegal Attachment Name Characters.

Each value in the field is stored as an individual instance of the System Keyword Type.

Note:

If the MAIL Attachment Name Keyword Type is assigned to the Document Type used for email messages, each email message is indexed with each attachment name as a separate Keyword Value. If the MAIL Attachment Name Keyword Type is assigned to the Document Type used for attachments, each attachment is indexed with its own attachment name.

MAIL Bcc

The value of the email Blind Carbon Copy field.

Each value in the field is stored as an individual instance of the System Keyword Type.

MAIL Cc

The value stored in the email Carbon Copy field. This value represents the Cc field as it is displayed to the user.

Each value in the field is stored as an individual instance of the System Keyword Type.

MAIL Cc Address

The value of the email Carbon Copy field. This value represents the Cc field's email addresses.

Each value in the field is stored as an individual instance of the System Keyword Type.

MAIL Certified

This System Keyword Type is not supported by the Integration for Microsoft Outlook 2019. A blank value is always stored for this System Keyword Type.

MAIL Date

The date the email was sent.

MAIL Date Time

The date and time the email was sent.

MAIL From

The value stored in the email From field. This value represents the From field as it is displayed to the user.

MAIL From Address

The email address from which the message was sent. This value represents the From field's email address.

MAIL MessageID

A value created by the email server when an item is accepted into the mail system. This is a unique identifier for the item.

MAIL Return Path

This System Keyword Type is not supported by the Integration for Microsoft Outlook 2019. A blank value is always stored for this System Keyword Type.

MAIL State

This System Keyword Type is not supported by the Integration for Microsoft Outlook 2019. A blank value is always stored for this System Keyword Type.

MAIL Status

The value specifying the current state of the email. The status value of the email is set to one of the following:

  • ARCHIVED: The email is archived.

  • PENDING: The email is pending send.

  • SUCCESS: The email is sent successfully.

  • ERROR: The email failed to send.

MAIL Subject

The value contained in the email Subject field.

MAIL To

The value stored in the email To field. This value represents the To field as it is displayed to the user.

Each value in the field is stored as an individual instance of the System Keyword Type.

MAIL To Address

The value stored in the email To field. This value represents the To field's email address.

Each value in the field is stored as an individual instance of the System Keyword Type.
CAUTION:

System Keyword Types should not be included in Multi-Instance Keyword Type Groups. Doing so can cause documents to be improperly indexed. Additionally, the MAIL To, MAIL To Address, MAIL Cc, MAIL Cc Address, MAIL Bcc, and MAIL Attachment Name Keyword Types should not be included in Keyword Type Groups because only the last value is indexed.
