The Integration for Microsoft Outlook 2019 allows users to attach files from OnBase to an email message and send it to other recipients.

Note:

You must have external mail rights to email documents to users outside of OnBase . For more information, see your system administrator.

To attach a file from OnBase :

  1. Open a new mail message, or reply to an existing message.
  2. On the Message tab, click Attach from OnBase .
    Note:

    Depending on your system configuration, the pictured icon and name of the button may have been changed by your system administrator or in user settings.

    Depending on your login status to OnBase , the following may display:

    • If you are not logged on to OnBase , the OnBase login splash screen is displayed.

    • If you are already logged on to OnBase , the Search Panel pane is displayed.

  3. From the Document Types and Groups sections, select the Document Type Group from which the document to attach belongs from the drop-down list.
  4. Select the Document Type from which the document to attach belongs from the Document Type list.
  5. From the Keywords and Date Range section, enter Keyword Values in the appropriate Keyword Type fields from which to search for the document to attach.
  6. Click Find. The Search Results pane is displayed with any documents that match your search criteria.
  7. Select one or more documents and click the Attach from OnBase button to attach the selected documents to the email message.
    Tip:

    Double-click on a search result to view the document in the Document Viewer.

  8. If the document is an image, a dialog box is displayed to select the format in which the image will be attached. Available options vary depending on the document's original format. The following options may be available:
    • Default/TIFF: Attaches the document as a TIFF file.

    • Unencrypted PDF: Attaches the document as a PDF file.

    • Encrypted PDF: Attaches the document as an encrypted PDF file. When this option is selected, the Password field is displayed. Enter an encryption password in the Password field. The recipient opening the attachment will need to enter this password to open it.

    • Native Format: Attaches the document in the format in which it is stored in OnBase .

  9. Click OK. The document is attached to your email message. Documents attached from OnBase use the document's name as the file name.
