The Integration for Microsoft Outlook 2019 allows users to import only the attachments of an email message into OnBase . When multiple images are imported as attachments, you can also combine them into a single document by using the Import All Attachments option.

To import attachments only:

  1. Open an email message from Outlook.
  2. From the Message tab, click the Import All Attachments button.
    Note:

    The Import All Attachments button is not available if the email has no attachments.

  3. Log on to OnBase .
    • If you are not logged on to OnBase , enter your user name and password to log on from the login splash screen.

    • If you are already logged on to OnBase , a message is displayed.

  4. Select one of the following options from the message:
    • Select Yes to create a single, multi-page document of all the imported attachments.

    • Select No to create a document for each imported attachment.

    The Import Document pane is displayed.

  5. Select the Document Type Group for the attachment from the Document Type Group drop-down list.
  6. Select the Document Type for the attachment from the Document Type drop-down list.
  7. Select the file type for the attachment from the File Type drop-down list.
    Note:

    In most instances, the file type is automatically populated because the Integration for Microsoft Outlook 2019 automatically recognizes file types. If an attachment has an unknown extension or does not have an extension at all, a file type is not populated and must be manually selected.

  8. Select the date for the attachment from the Document Date drop-down list.
  9. From the Keywords section, enter Keyword Values in the appropriate Keyword Type fields. Any Keyword Types configured as Data Entry or Blank will have an empty value. If your Document Type was configured with default mail System Keyword Types, some of the Keyword Values may already be filled in.
    Note:

    You cannot edit default mail System Keyword Types, for example, MAIL To or MAIL From.

  10. If you are importing more than one attachment, select the Apply to all attachments option to apply the selected settings in the Import Document pane to all remaining email attachments.
  11. Click one of the following buttons:
    • Import: Imports the attachment to OnBase . If there are multiple attachments to import and the Apply to all attachments option is not selected, the Import Document pane for the next attachment is displayed. If the Apply to all attachments option is selected, all remaining email attachments are imported.

    • Skip: Skips the selected attachment for import into OnBase . If there are no other attachments to import, the Import Document pane is closed.
