If your system is licensed for Workflow, email notifications can be configured that allow you to execute Workflow ad hoc tasks directly from an Outlook email message.

Note:

When creating an email notification in OnBase Studio, you must select the Add Outlook Header option to allow users to execute Workflow ad hoc tasks directly from an Outlook email message. See the Workflow documentation for configuring Workflow notifications and notification settings.

If a Workflow email notification is configured to allow you to execute ad hoc tasks directly from an Outlook email message, the Workflow Task Pane button is displayed in the Message tab.

To execute Workflow ad hoc tasks directly from an Outlook email message:

  1. Click the Workflow Task Pane button.
  2. If you are not already logged on to OnBase , you are prompted to log on.
  3. The Workflow Ad Hoc Tasks pane is displayed.
  4. Select an ad hoc task from the Tasks pane. The ad hock task is executed.

    Depending on your configuration, the email notification is modified to include information on the ad hoc task that was executed. If ad hoc task execution transitions the document to a different queue, the Workflow Task Pane button is removed from the Message tab and the Workflow Ad Hoc Tasks pane is closed.

    Note:

    The Show in Queue button is also available when an email notification is opened. Click this button to open the Workflow queue associated with the notification.
