You can work with reference documents in a folio in the Integration for Netsmart Homecare. Before you can work with reference documents, you must synchronize folios.

Note:

Before you can synchronize folios, you must have previously switched into Field Mode.

  1. Click Reference Documents.
  2. The Folios layout is displayed:
  3. To synchronize reference documents, click the Synchronize All button.
  4. The Proceed with synchronizing the following folios? window is displayed:
  5. The folios to be synchronized and the total amount of data to be transferred are displayed. The Approximate Time it will take to upload the new data is also displayed. Estimated times are displayed based on your connection:

    Connection

    Description

    Dial-up (56Kbps)

    The approximate time it will take to transfer data using a 56 Kbps dial-up connection.

    DSL/Cable (256Kbps)

    The approximate time it will take to transfer data using a 256 Kbps DSL/Cable connection.

    DSL/Cable (768Kbps)

    The approximate time it will take to transfer data using a 768 Kbps DSL/Cable connection.

    T1 (1.5Mbps)

    The approximate time it will take to transfer data using a 1.5 Mbps T1 connection.

  6. Click Yes to synchronize folios.
  7. During folio synchronization, OnBase identifies any conflicts between documents or items, such as notes, on your workstation's database and documents stored in OnBase. See Conflict Resolution for more information.
  8. When synchronization is complete, select a folio from the list of folios.
  9. The documents in the selected folio are displayed in the Documents pane:
  10. The following information is displayed for each document in the Documents pane:

    Column

    State

    Displays the document's synchronization status:

    • The following icon indicates that the document has workstation changes that need to be uploaded to OnBase:

      These changes will be uploaded to OnBase during the next synchronization.

    • The following icon indicates that the document has no workstation changes that need to be uploaded to OnBase:

    Icon

    Displays the icon associated with the Document Type.

    Name

    Displays the document's name.

    Type

    Displays the document's Document Type.

    Date

    Displays the document's Document Date.

  11. To open an existing document, double-click the name of the document.

    The following right-click options are also available:

    Option

    Description

    Keywords

    Select to display the Add/Modify Keywords pane in the Document Information panel.

    Notes

    Select to display the Notes pane in the Document Information panel.

    Remove from Folio

    Select to remove the document from the folio.

    Note:

    This option is only available to users with folio configuration rights.
