Once a user account has been authenticated and created in OnBase, it is available to be added to user groups via the User Groups & Rights dialog box. However, users cannot be added to additional user groups via the User Groups & Rights dialog box unless they belong to the corresponding Active Directory groups or the OnBase user group is configured as manually-managed.

If a user is added to a user group that is not managed manually and is not mapped to a corresponding Active Directory group to which the user belongs, the user is removed from the user group. For example, a user added to the HR - Managers user group via the User Groups & Rights dialog box must also belong to an Active Directory group that is mapped to the HR - Managers OnBase user group. If the user is not found in the mapped Active Directory group, the user is automatically removed from the OnBase user group.

To add users to additional OnBase user groups, map them to the specific user groups via the Active Directory - Enhanced dialog box, or ensure that they belong to the Active Directory groups that are mapped to the desired OnBase user groups.

In addition, you can add users to OnBase user groups that are configured as manually-managed user groups. These OnBase user groups are not affected by Active Directory authentication, and users are not removed from these groups upon authentication because these groups are configured so that they cannot be mapped to Active Directory groups. Users added directly to a user group in the Active Directory - Enhanced dialog box are not removed from the user group. See Mapping Active Directory Users and Groups for more information about adding users directly to OnBase user groups.
