  1. Where are temporary files stored when I open a document from OnBase ?

    Temporary files are stored in C:\Documents and Settings\[user name]\Local Settings\Temp\Hyland Software, Inc\Office\[name of Office application]. When you open a document, a subfolder is generated in the [name of Office application] folder. This subfolder is the document's unique document ID. When you open a revision of an OnBase document, a subfolder is generated in this folder that corresponds to the document's revision number.

    For example, if the first document you open in a Microsoft Word session is revision 3 of an OnBase document, your temporary file is stored in C:\Documents and Settings\[user name]\Local Settings\Temp\Hyland Software, Inc\Office\Word\101\3\.

    Temporary files are deleted when you close the document.

  2. Where are temporary files stored when I create a document template?

    Temporary files are stored in C:\Documents and Settings\[user name]\Local Settings\Temp\Hyland Software, Inc\Office\[name of Office application]\Template\[Template's Document Handle]. This folder contains a subfolder that is a unique eight character ID. This subfolder contains the template's temporary file.

    Temporary files are deleted when you close the template.

  3. When accessing OnBase via the Office Business Application for 2021, when are licenses released?

    The Office Business Application for 2021 consumes both a Concurrent or Workstation license, and a Concurrent Client, Named User Client, or Workstation Client license. Workstation licenses are released after closing the Office application. Concurrent and Named User licenses are released after closing the Office application or after a five-minute period of inactivity where you are not performing OnBase actions within the Office application. The system attempts to automatically reacquire your license after you perform an OnBase action within the Office application. If there are no licenses available at this point, the following message is displayed:

    • Your client license was released due to inactivity and a license could not be acquired because all licenses are currently in use. You may still continue working.

      Note: An attempt will be made to access a free license periodically and this message will reappear until a license can be acquired. Please notify your system administrator that your organization may need additional client licenses.

  4. A Workflow license is consumed after clicking the Workflow toolbar button or the Workflow Task Pane button. When is this license released?

    Workflow licenses are released after the Workflow layout is closed or a Workflow ad-hoc task is executed. If there are multiple conditions under which the license is being consumed, the license is only released after the last condition is closed.

    Workflow licenses are also released after a five-minute period of inactivity where you are not performing Workflow actions within the Office application. The system attempts to automatically reacquire your license after you perform a Workflow action within the Office application. If there are no licenses available at this point, the following message is displayed:

    • Your client license was released due to inactivity and a license could not be acquired because all licenses are currently in use. You may still continue working.

      Note: An attempt will be made to access a free license periodically and this message will reappear until a license can be acquired. Please notify your system administrator that your organization may need additional client licenses.

  5. When attempting to open a Microsoft Excel spreadsheet from within Microsoft Word or PowerPoint, an exception is returned.
    Ensure that the Ignore other applications that use Dynamic Data Exchange (DDE) option is not selected in Microsoft Excel. This option is available in File | Options | Advanced under the General section.
  6. When attempting to edit a Microsoft Excel spreadsheet that is embedded in a Microsoft Word document, Microsoft Excel closes unexpectedly.

    Ensure that the Ignore other applications that use Dynamic Data Exchange (DDE) option is not selected in Microsoft Excel. This option is available in File | Options | Advanced under the General section.

    Install the Organization Chart Add-in for Microsoft Office programs by following the steps in Microsoft Knowledge Base article 919066 (http://support.microsoft.com/kb/919066).

  7. Microsoft Word documents with a Microsoft Excel spreadsheet embedded in it cannot be saved as new documents when working in the Microsoft Office Compatibility Mode.

    When working with a Microsoft Word document containing an embedded Microsoft Excel spreadsheet, edit the spreadsheet and exit Compatibility Mode before saving the document back to OnBase.

    Note:

    If the OnBase tab is not displayed after exiting Compatibility Mode, minimize Microsoft Word and then maximize it.

  8. Office Business Application for 2021 is unable to import an Office file that is embedded in another Office file.
    Importing embedded files is not supported in Office Business Application for 2021. When working with an Office file that is embedded in another Office file (such as an Excel spreadsheet embedded in a Word document), it is recommended to save the embedded file to disk separately, and then import that file into OnBase using Office Business Application for 2021.
  9. If I open a Microsoft PowerPoint document from OnBase, modify it, and close Microsoft PowerPoint before saving, I am prompted by a Save dialog box that states, "The current document has not been saved. Would you like to save the document before closing?". This dialog box includes Yes and No buttons, but not a Cancel button, which would allow me to return to Microsoft PowerPoint without saving changes.
    This is a known limitation of the Microsoft PowerPoint API. The Save dialog box that is presented in Microsoft Word and Microsoft Excel includes a Cancel button.
  10. When I open a Microsoft PowerPoint document from OnBase, the name that appears in the Microsoft PowerPoint title bar is a random string of letters and numbers.
    The name that appears in the Microsoft PowerPoint title bar is the name of the temporary file being used when working with the document. It is not the Auto-Name string. Microsoft PowerPoint Auto-Name strings cannot be displayed in the Microsoft PowerPoint title bar.
  11. When I open a Microsoft Office document from the OnBase Web Client, the document opens externally in the Office Business Application for 2021 even though my Web Client is configured to open Microsoft Office documents within the browser window.
    When you open a Microsoft Office document from the OnBase Web Client, the document always opens in the Office Business Application for 2021, regardless of Web Client configuration.
  12. I can open a Microsoft Office document from the OnBase Web Client, but cannot save the document as a revision with the Save button on the OnBase tab. The buttons in the Information ribbon group on the OnBase tab are not available.
    This issue is caused by out of date OnBase Core Services DLL files still present on the workstation. To resolve, remove the out of date OnBase Core Services DLL files from the workstation so that the remaining DLL files have the same version and build number as the OnBase Application Server.
  13. I installed the 64-bit version of Office Business Application for 2021 and when I open a Microsoft Office document from the Web Client, I am prompted to save the document to open it in Microsoft Office instead of it automatically opening in Office Business Application for 2021 and logging on to my configured OnBase client.

    When the 64-bit version of the Office Business Application for 2021 is installed, the Web Client does not support the automatic opening of Microsoft Office documents in Office Business Application for 2021 or the automatic login to OnBase from the Office Business Application for 2021.

    However, if the 64-bit version of Office Business Application for 2021 is required for your system, then you must install both the 64-bit and 32-bit Office Business Application for 2021 to use the Web Client with Office Business Application for 2021. The additional installation of the 32-bit version allows the Web Client to open Microsoft Office documents automatically in Office Business Application for 2021 and to automatically log on to your configured OnBase client.

  14. I installed the Office Business Application for 2021 using the standard (MSI) installer, but I am being prompted to log on each time I open a document from the Web Client.
    The Service URL in the Office Business Application for 2021 configuration file must exactly match either the OnBase Web Server or the OnBase Application Server Service URL. For example, if the OnBase Application Server Service URL is configured for remoting (a URL ending in .rem), then the Office Business Application for 2021 URL must also be configured for remoting.
  15. When I open a Microsoft Office document from the OnBase Client or the Unity Client in the browser window instead of externally in the Office Business Application for 2021, I receive an error when I click on the Save button on the OnBase tab after I make changes to the document.
    After editing a Microsoft Office document in the browser window, you must click the Save button in the native application to save changes to the document in OnBase. You can then select to save these changes as a new document or to save these changes as a revision to the current document (if the Document Type is configured for revisions).
