The Office Business Application for 2021 uses Microsoft Add-In technology to embed the OnBase tab directly in Microsoft Office (Word, Excel, PowerPoint).

You can use the OnBase tab to retrieve, import, modify, email, or add notes to any document created in these Microsoft Office applications. Depending on your configuration, licensing, and privileges, you may have access to any of the following buttons.

Note:

Buttons in some of the available ribbon groups are only enabled after connecting to OnBase.

Document

Description

Open

Clicking the top portion of Open displays the Document Retrieval window.

Clicking the bottom portion of Open displays the following options. Click on the option to open the corresponding OnBase window:

  • Document Retrieval

  • Custom Queries

  • Envelopes

  • Retrieve by Document Handle

If you are not already logged on to OnBase, you are prompted to log on. See Logging On for more information.

Note:

Depending on your system configuration, the pictured icon for the Open button may differ slightly.

Note:

The Document Retrieval window does not include the Document Viewer pane.

Note:

When you open an Excel or Word document that already exists in OnBase using the Office Business Application for 2021, the document's Auto-Name string is displayed in the Office application's title bar. A maximum of 80 characters are displayed.

Save

Save displays the Import pane, allowing you to save the currently open document to OnBase. See Importing and Saving Documents for more information.

If you are not already logged on to OnBase, you are prompted to log on. See Logging On for more information.

Information

Description

Keywords

Keywords displays the Add/Modify Keywords pane.

Notes

Notes displays the following options:

  • View Notes- Select to display the Notes pane.

  • Add Note- Select to display the Note Types dialog box.

Cross-References

Cross-References displays the Cross-References pane.

Discussions

Discussions displays the Discussions pane.

Note:

Collaboration licensing is required to use and access discussion threads on documents. For more information, see the Collaboration module reference guide or help file.

Revisions/Renditions

Revisions/Renditions displays the Revisions/Renditions dialog box.

Note:

EDM Services licensing is required to use revisions. For information on using revisions, see the EDM Services documentation.

History

History displays the Document History dialog box.

Properties

Properties displays the Document Properties dialog box.

Connect

Description

Reconnect

Note:

This button is only displayed when OnBase has lost connection to the Application Server.

Reconnects the Office Business Application for 2021 to the Application Server when the connection is lost. If you are still unable to reconnect to the Application Server after clicking Reconnect, contact your system administrator.

Re-Index

Description

Re-Index

Re-Index displays the Re-Index Document pane.

Send To

Description

Email

Email sends the document via external email.

Workflow

Description

Workflow

Workflow displays the Workflow layout in a new window.

When clicking the bottom portion of this button, the following buttons are available:

  • Execute Workflow displays the Add To Workflow dialog box, which allows you to manually add the document into a configured life cycle.

  • Show in Queue displays the Workflow Locations dialog box, which lists the life cycles and queues that the document belongs to and the users/User Groups or roles assigned to the document.

Workflow Task Pane

Workflow Task Pane displays the Workflow pane. This pane includes the queue(s) in which the open document resides (Current Queue), the Workflow tasks configured for the selected queue (Tasks), and any items that are related to the currently open document (Related Items). If the open document does not exist in any Workflow queues, the Workflow pane does not contain any information.

When the Office Business Application for 2021 is installed, and the Unity Client is configured to open Microsoft Office documents using the Office Business Application for 2021, the Workflow pane is automatically displayed after opening a Microsoft Office document from the Unity Workflow interface.

Create

Description

Forms

Forms displays the Create a New Form window, which allows you to create a new E-Form or Unity Form.

Note:

For more information on E-Forms, see the E-Forms documentation. For more information on Unity Forms, see the Unity Forms documentation.

Import from File

Import from File opens the Import from File window, allowing you to import a document to OnBase.

If you are not already logged on to OnBase, you are prompted to log on. See Logging On for more information.

When you have finished importing documents, close the Import from File window.

Note:

When you import a Word or PowerPoint document from their native applications and the Open Document After Import option is selected, you must close the Import from File window before the document can be displayed.

Templates

Templates displays the Document Templates pane. See Document Templates for more information.

If you are not already logged on to OnBase, you are prompted to log on. See Logging On for more information.

Note:

EDM Services licensing is required to use document templates.
