Physical Records Management integrates the management of Physical Records with electronic documents and electronic records. Records and documents are treated equally, enabling users to store, manage and retrieve content regardless of location or type.

OnBase enables organizations to store and manage details regarding the physical record in terms of the record's content (what the record is, or contains), where it is located (which warehouse or building, which aisle, shelf, box, folder etc.), the check out information relating to the record (who has it now, who has had it and who is requesting access to it), along with Keyword Value metadata used for indexing and searching.

The management of physical records is based on the same architecture as the management of electronic records (Document Type, Keyword Types etc.). This enables physical records to be managed and accessed in parallel with all other DMS content.

Physical Records Management provides the bridge between paper / physical storage worlds and electronic document management environment.
