There are several ways that a physical record can be retrieved. Before a physical record can be retrieved, the locator for that record must be retrieved from OnBase. Physical record locator retrieval using Keyword Values works the same as document retrieval in OnBase. See the Client help files regarding document retrieval. Another option for retrieval is to search using the Physical Record Retrieval functionality. To search specifically for a physical record locator:

  1. In the Client, select File | Open | Physical Record Retrieval. The Physical Record Retrieval dialog box is displayed.
  2. Select the appropriate repository from the Repository drop-down list.
  3. Enter the appropriate sub-locations in the fields provided. In order to enter a sub-location, the previous sub-location must have a value entered.
  4. Click Search. Physical records matching the search criteria are listed in the right pane.
    Tip:

    Below the search options, a window displaying past searches is found. You can view the current results of a previous search by clicking on the search in this window.

Once you have retrieved and opened the appropriate physical record locator, there are two possible ways to acquire the physical record: through a request or through a direct check out.
