In order to send notifications for overdue records, the following steps must be completed if not using the Hyland Distribution Service:

  1. The Overdue Notification check box must be selected for the repository for which you want to send notifications.
  2. The onbase32.ini file must have the NativeMailSystem entry set equal to 10.
  3. Apply the -PRMSERVER switch to the Client module to run as a server for Physical Records Management notifications.
  4. The user that is logged into the Client running as the server must have their SMTP Mail Settings configured correctly. See SMTP Mail Settings in the External Mail documentation for more information about these settings.
    Note:

    When the -PRMSERVER is used, Physical Records Mail Server Mode: YES is displayed in the System Status dialog box.

When sending e-mail internally, ensure that you create a descriptive user name for sending administrative notification. The user logged in and running the server will be the user sending the notifications. Internal messages do not include a detailed list of the item that are overdue. These messages will simply alert you to the fact that there are overdue items.

To receive e-mail externally, ensure that the users have their e-mail addresses entered in the User Settings dialog box. See the help files for more information about this dialog box. The server will attempt to send mail externally. If the message fails, an internal message will be sent. Overdue items are listed in the message. Each user receives one e-mail will a list of the items they are responsible for.

Notifications are sent once per day. Each user that has overdue items will receive one notification, regardless of the number of items that are overdue.

Note:

When external e-mailing is unavailable, internal mail is sent.
