Complete the following steps to extract information from reports stored in OnBase. Depending on your system's configuration, the generated document may be archived to OnBase. Archived documents are available in the Document Type designated by your system administrator.

  1. Use either the Document Retrieval dialog box or a custom query to retrieve the documents to data mine.
  2. To mine an open document, right-click and select Data Mining | Mine Report.
    To data mine documents from a search results list, select the documents to mine, then right-click any of the selected documents and select Data Mining | Mine Report.
    The Choose a Report Mining Process dialog box is displayed.
  3. Select a Report Mining process from the Report Mining Process drop-down list. Only processes that apply to at least one of the selected Document Types are available.
    Each process is configured to mine a specific set of Document Types for specific information. Ensure you select the correct process for the documents you want to mine.
  4. Select the type of output for the generated report from the Output Options drop-down list:
    • View as XLSX: The mined data is displayed in Microsoft Excel.

    • View as CSV: The mined data is converted to a CSV (comma-separated values) file and displayed in Microsoft Excel.

    • Save as File: The output is saved locally as a file instead of being opened in a viewer.

  5. Click OK. The data is mined and the output using the output option selected:
    • View as XLSX: The mined data is displayed in Microsoft Excel. If Microsoft Excel is not available, it is displayed as a CSV (comma-separated values) file. CSV files can be saved locally and viewed using any spreadsheet application.

    • View as CSV: The mined data is converted to a CSV (comma-separated values) file and displayed in Microsoft Excel. If Microsoft Excel is not available, the CSV file can be saved locally and viewed using any spreadsheet application.

    • Save as File: The output is saved locally as a file instead of being opened in a viewer. You are prompted to select the file name and save location for the file. The file is saved as a CSV (comma-separated values) file, which can be viewed using any spreadsheet application.

    Note:

    If the process cannot mine all of the selected documents, it stops and an error is displayed. This may occur if one of the Document Types for the selected documents is not assigned to the selected Report Mining process.

If archival is enabled, the spreadsheet is automatically archived under the Document Type configured by your system administrator. These documents use the following naming convention: <Process Name> - <CREATION DATE/TIME> - <USERNAME>.

Use a spreadsheet application to view, format, or process the mined data. For information about available processing options, see the help files for the spreadsheet application you are using.
