If you want to add and update Customer Information while processing Statement Composition documents into OnBase, the <Distribution keywords> section must be configured. In this section OnBase Keyword Types (Keytype names) used as ID Keywords in a Document Distribution process must be mapped to recipient fields (Distribution keytypes) mapped to fields within the current .odf file. The Keyword Types that are mapped will be used to identify the distribution process where customers' information belongs. All ID Keywords used for the desired process must be mapped in this section or the process will not be identified. The values of the recipient fields mapped in this section will be used to create the Customer Identification String found in the Customer Information dialog box. If a Customer Identification String is not found in OnBase, a new customer record will be created. If the Customer Identification String already exists in OnBase, the existing customer record will be updated. The following is an example:

  1. To assign keytypes to distribution keytypes: In the Object Definition Editor, click <Distribution keywords>.
  2. Click Modify in the Tasks pane. The Distribution keywords dialog box is displayed.

    This dialog box displays three columns: Keytype name, Keytype num, and Distribution keytype. The Keytype name column contains all Keyword Types in the database for which the user has rights. The Keytype num column contains the keyword # associated with the Keyword Type. The Distribution keytype columns contain the Recipient Fields in Customer Information entered in the Client module that are assigned to a Keytype name.

  3. Double-click on the Keytype name entry that you want to associate with a Distribution keytype.
  4. Select the appropriate distribution keytype (or recipient field) from the drop-down list.
  5. Click OK. The Distribution keytype assigned will display in the column.
  6. Repeat steps 3-5 until all appropriate keytype assignments have been made.
  7. Click OK.
