A dataset is a list of values set for a Keyword Type that are displayed as a drop-down menu in the Keyword field. Keyword Types without a dataset allow for user-defined values, while a dataset limits the values a user can select.

Note:

Datasets are not available for Keyword Types with following Data Types: Date, Date Time, Currency, Specific Currency, and Floating Point.

A dataset for a Keyword Type may be edited in the OnBase Administration Portal.

Note:

The Use Dataset setting is not available in the OnBase Administration Portal. Datasets must be created within the Configuration module.

To edit the values within a Keyword Type's existing dataset in the OnBase Administration Portal:

  1. Select the Keyword Type from the Keyword Types page.

    The Keyword Type's page is displayed.

  2. Under the Dataset Options heading, click Manage Dataset.

    The Dataset Values dialog box is displayed.

  3. To add a value to the dataset, enter a value within the Add Value field and click Add.
  4. To remove a value from the dataset, click the minus sign button () next to the value.
  5. To sort the dataset values, use the Sort drop-down menu above the list of dataset values. Select Sort Alphabetically (A-Z) to have the values sorted in ascending order alphabetically. Select Sort Alphabetically (Z-A) to have values sorted in descending order alphabetically. Select Custom Sort Order to allow for a customized order by clicking and dragging each value using the Sort icon ().
  6. Click Done to close the Dataset Values dialog box.
  7. Click Save to save changes to the dataset.
