Custom Queries and Cross-References can be configured to display the search results list in a pre-sorted order based on the values of the data in the configured columns. The search results list can be resorted later by users when they click on a Display Column heading to sort the results based on the values contained in that column instead.

Note:

Sort Columns are not supported with Template-Based Cross-References.

The document properties available for selection are determined by the selections in the Display Column Maintenance dialog box. See Configuring the Availability of Display and Sort Columns for more information.

Note:

If you configure one or more Sort Columns, the Sort by Document Type option is not respected.

  1. To specify the columns a search results list is sorted by when it is first displayed, click Sort Columns from the Cross-Reference Assignment or Custom Query dialog box. The Sort Columns dialog box is displayed.
  2. To sort the search results list by specific data, select the column that contains the data in the Available Columns list and click Add.
    Note:

    Sort Columns are respected even when the corresponding property is not contained in the search results list Display Columns or on the Custom Query itself.

    To remove a column from the pre-sorted search results list, select it in the Selected Columns list and click Remove.

    Note:

    If you sort by the Document Date property, the results are sorted by both the date and time that the document was imported into OnBase.

  3. The sort order is determined by the order of the columns in the Selected Columns list. The top most item in the Selected Columns list is used to first sort the results, then the results are sorted by the next item, and on down the list.

    To move a column up in the sort order, meaning the results are sorted by that column before the columns below it, select it in the Selected Columns list and click Move Up until it is at the desired order.

    To move a column down in the sort order, select it in the Selected Columns list and click Move Down until it is at the desired order.

  4. Select a Sort Method for the data presented in the search results list:
    • Select Ascend to display results in ascending order (e.g., A to Z, or 1 to 10);

    • Select Descend to display results in descending order (e.g., Z to A, or 10 to 1).
