Data Sets / Drop Down Lists are available while Configuring a Keyword Type for certain Data Types. Data Sets / Drop Down Lists options are unavailable if the Keyword Type's Data Type is Date, Date & Time, Currency, Specific Currency, or Floating Point.
Data Sets / Drop Down Lists enable the use of drop-down lists and data sets during document searches and indexing. During document searches, drop-down lists and data sets allow users to quickly select a search value from a list of values. During indexing, drop-down lists and data sets allow users to quickly select an index value from a list of values.

Use Keyword Data Set |
A Keyword Data Set limits the values that appear in a drop-down list to the values included in the set, allows Drop-Down capabilities for Alphanumeric Single Table Keyword Types as well as Keyword Types in Keyword Type Groups, and can be used to provide a limited set of choices for Keyword Value entry – such as States, Months, and other predefined selection criteria for indexing. Note:
When entering a numeric value for a Data Set, you may only use the negative ( - ) sign before a number. If this check box is selected, the Data Set button becomes available at the Keyword Type dialog box. |

Allow Drop-Down Lists |
Drop-down lists display all Keyword Values currently associated with the selected Keyword Type, for all Document Types. For Alphanumeric Single Table Keyword Types that do not use a Data Set, drop-down lists display duplicate values if multiple documents are indexed with the same value. To prevent this behavior, select Only Display Distinct Values. Note:
If the Keyword Type is in a Keyword Type Group and you want to Allow Drop-Down Lists, Keyword Values must be configured in a Data Set. |

Descending Lookup |
Designates the order for the Keyword Values in the data set drop-down list as descending. If disabled, the list will appear in random order (based on database sorting). |

Only Display Distinct Values |
Prevents duplicate values from displaying in a drop-down list. This option is only available for Alphanumeric Single Table Keyword Types that do not use a Data Set. |
