The Note Type name that is displayed in the Note's comment box can be automatically defined using a combination of text and variables.

Note:

An Auto-Name string generated for a Note Type is limited to 150 characters. However, only the first 79 characters of the Auto-Name string are displayed in the Note's comment box in the OnBase Client module.

To configure a Note Type's Auto-Name string:

  1. In the Note Type Configuration dialog box, select the Note Type that you wish to modify from the Note Type list and click Auto-Name.
  2. The Note Name Configuration dialog box is displayed.
  3. The default name string of %N - %D2 is displayed in the Auto-Name field. This string would display the Note Type name followed by a dash and the date the note was created (i.e., Customer Note - 09/12/07) in the Note's comment box.
  4. The buttons on the right can be used to add other variables to the Auto-Name string or you can manually add the symbols or text into the Auto-Name field. When using the buttons, make sure to have the cursor at the desired location for the new symbol in the field before clicking the desired button.

    The following table describes the Auto-Name options provided in the Note Name Configuration dialog box:

    Adds a space, a hyphen and another space to separate the different symbols ( - ).

    Note Date

    Adds the date that the Note was stored in the system.

    Note:

    This value cannot be modified by changing the Document Date in the Add/Modify Keywords dialog box.

    Note Type

    Adds the Note Type.

    %#

    Internal Note Number

    Adds the internal number associated with the Note within OnBase.

    %I2

    Note Time

    Adds the time the Note was created.

    %U

    User Name

    Adds the User Name of the user who last modified the Note Text.

    %R

    Real User Name

    Adds the real name of the user (as entered in the User Settings dialog box of the User Names and Passwords menu of the OnBase Configuration module) who last modified the Note Text.

    Note:

    If a value for the real name of the user has not been entered in the User Names and Passwords menu of the OnBase Configuration module, the User Name of the user who created the Note is displayed.

    Note Text

    Adds the text that accompanies the Note (the text that is displayed under the Note's comment box when a Note is opened).

    Note:

    Any text, symbol or space entered in the Auto-Name field--other than the symbols listed above--is displayed as static text in the Note's comment box.

    CAUTION:

    Changing the Auto-Name of a Note Type may have unintended consequences for your OnBase system. If you modify an Auto-Name that previously contained the %U or %R variables, all notes of that Note Type will be updated with new values for those variables. Instead of containing the User Name and Real User Name of the last person to modify the note, the variables will contain the User Name and Real User Name of the note's creator.
