Document Type

Usage

SYS Batch Tickets

When the Configuration option Create Batch is selected, individual documents are combined into a summary document and archived under this Document Type.

Note:

This option is no longer available, but documents previously configured with this option can still use it.

SYS Configuration Reports

Any report run by selecting it from the Report menu in the Configuration module is archived under this Document Type.

License Certificate Installation reports, Database Update reports, and Studio export files are also archived under this Document Type.

SYS Defaults - Not To Be Assigned

For system use only. This Document Type is used by OnBase to populate default values for Document Types if a value is not explicitly assigned when the Document Type is created. For example, if a new Document Type is created, but the Lines Per Page setting is not populated, then the value from SYS Defaults - Not To Be Assigned is used to populate that value.

SYS Document Purge Report

Information regarding documents purged from the system using Document Maintenance is archived under this Document Type.

Note:

Documents purged using SYS - Purge Document in Workflow do not appear in this report.

SYS License Certificate

When a License Certificate is imported, the imported certificate is archived under this document type.

Note:

The License Certificate Installation report is archived under the SYS Configuration Reports Document Type.

SYS List Contents Reports

List Contents Reports are created from a Document Search Results list, batch queue, or Workflow life cycle. They contain the configured auto-names of the selected documents within a list, the total number of documents in the list, the date and time the report was created, the user who created the report, and the total time spent processing the report.

SYS Ole Note Documents

Used by the system to archive Windows OLE Notes. If an imported OLE document contains Windows OLE Notes, those OLE Notes are archived under this Document Type as a separate document.

Note:

Windows OLE Notes are not the same thing as OnBase-created Notes.

SYS Overlay Images

When overlays are imported into OnBase they are archived under this Document Type. Overlays are most commonly used with Image Statements, E-Forms, and the various import processors (e.g., COLD, DIP, DJDE). If an image is not stored under this Document Type it is not available for use as an overlay.

SYS Platter Management Reports

Reports generated by the various Platter Management processes are archived under this Document Type.

Automated platter backups using Automated CD/DVD Authoring are also archived under SYS Platter Management Reports.

SYS Redact Bitmaps

Bitmaps used to add redactions to documents should be archived under this Document Type. If an image is not stored under this Document Type it is not available for use as a redaction.

Note:

The SYS Redact Bitmaps Document Type does not respect Security Keywords in the Unity Client.

SYS Search Reports

Selecting Create Report from a job in the Text Search Results dialog box creates a report of the text search results. That report is archived under this Document Type.

A SYS Search Reports document is also created each time an Internal Text Search is performed in the Client, as long as the Generate Report option is selected when performing the Internal Text Search.

SYS System Bitmaps

During installation, several images are archived under this Document Type for use as backgrounds and icons. Additional images can be archived later under this Document Type. If an image is not stored under this Document Type it is not available for use as a background or icon.

SYS System Icons

During installation, several images are archived under this Document Type for use as icons. Additional images can be archived later under this Document Type. If an image is not stored under this Document Type it is not available for use as an icon.

SYS Transaction Logs

Logs created by selecting Create a Transaction Log Report in the Client are archived under this Document Type.

This Document Type is also used to archive reports generated by creating a Transaction Log for Physical Records Management.

SYS User Reports

Reports of a document's history, generated from the Client or Workflow, are archived under this Document Type.

SYS Verification Reports

All import/export processes produce a report under this Document Type, after the process is run. The report contains information on any errors or system messages encountered during the process.

A Daily Report is an accumulating list of verification reports from processes that have been run on that workstation. Once the Daily Verification Report window is cleared, the verification reports are archived under the SYS Verification Reports Document Type.
