The system is typically installed with the following standard file formats. File formats can be added, changed, or renamed after installation. Each file format has an associated system ID number that identifies the format. If the number is less than 100, it is a system file format. If the number is greater than 100, it is a user-defined file format. The system uses the following viewers to display documents.

Some of the standard file formats are only available if you are licensed for their corresponding modules.

A software module (often a printer driver) creates an AFP file containing text, graphics, and formatting information. Processed with the AFP Processor, AFP documents use the internal viewer.

24-bit TARGA(.tga), Amiga IFF(.iff), Brooktrout(.bt), CALS(.cal), Clip(.clp), Bitmap (Compressed or Uncompressed)(.bmp), DCX(.dcx), EPS Screen Preview(.eps), GIF(.gif), JPEG(.jpg), Macintosh PICT (Raster Only)(.pct), PCS(.pcx), Photoshop Document(.psd), Sun Raster(.ras), TIFF (Group III, Group IV, Huffman, LZW, Packbits, JPEG-compressed or Uncompressed)(.tif), Windows Icon(.ico), WMF (Raster Only)(.wmf), WPG (Raster Only)(.wpg), X-Windows Bitmap(.xbm), X-Windows Drawing(.xwd), X-Windows Pixmap(.xpm)

Tip:

Whenever possible, it is considered a best practice to store image documents as bi-tonal (black and white) TIFF-Group IV files. If you need to store documents as color or grayscale images, it is considered a best practice to store them as JPEG files.

Note:

TGA files are only supported in the OnBase Client.

Note:

Animated GIF files are rendered as multiple pages of still images when viewed in any OnBase client. When exporting an animated GIF in its native or original format, it will export as a collection of still images.

This file format allows PDFs to be rendered as images and viewed in the image viewer (including accept markups, notes, and annotations).

Note:

Upon saving a redacted document or creating a revision using an Image Rendered PDF document, the resulting document is saved as a TIFF. The original document, if available, remains a PDF.

Note:

You cannot add markups or redactions to Image Rendered PDF documents in the Unity Client.

CAUTION:

Test this file format in different environments to ensure the documents are being displayed properly.

Tip:

If you would like this to be a default format for incoming PDFs, select the Respect Custom File Types option in Document Types | Settings.

Lotus Notes Document

Use for Lotus Notes documents (documents use Object Linking and Embedding.)

Note:

If viewing large DXL files with numerous attachments using the Style Sheet takes longer than expected, use the native (Lotus Notes) viewer to decrease the amount of time.

If you use the OnBase Client or the Workflow module from within the OnBase Client to retrieve mail messages stored in their native format (DXL), the messages will be opened in Lotus Notes. If you retrieve mail messages on a workstation that does not have Lotus Notes, messages are displayed using the configured XML Style Sheet for the Document Type.

If you use the Web Client to retrieve mail messages stored in their native format, the messages display using the configured XML Style Sheet, regardless of whether Lotus Notes is installed on the workstation.

You can only open true e-mail attachments from messages displayed using an XML Style Sheet. You cannot open attachments or files embedded in the message itself, nor can you open attachments if their links lack file extensions.

When using macros in an MS Word document containing the initialization code called from the AutoExec function, it will NOT be called when the document is opened within the Client inside an OLE window. In order for the functionality to work, a new function defined by the Client, DMAutoExec, must be created and the code within AutoExec must be duplicated.

Note:

Any functionality defined within the DMAutoExec function will only be performed when the document is opened within the Client's OLE window, and will NOT have any effect on the original document when opened within MS Word.

CAUTION:

If the DMAutoExec function is not used, and the MS Word document is imported into the Client, the macro will NOT perform its function.

By default, PDF documents are displayed using the OnBase internal viewer.

Your system can be configured to open PDF documents in an instance of Acrobat or Acrobat Reader instead of the internal viewer. For more information on configuring PDF documents to open in an instance of Acrobat or Acrobat Reader, see the section on viewing PDF documents in Acrobat or Acrobat Reader in the OnBase Client documentation.

Note:

OnBase functionality (e.g., notes, cross-references, etc.) is not available to PDF documents opened outside of the OnBase internal viewer.
