You may need to replace Keyword Values that were picked up incorrectly during processing (COLD, or other processing modules) or you may need to make a name change.
For example, during a COLD process, the Keyword Type configuration may have missed a space for the first letter of the Keyword Value - retrieving ENJAMIN instead of BENJAMIN. You can COLD process the report again with the correct configuration and use the Replace Keywords dialog box to replace the first value with the second one.
Another example is that you may have two values for the same person in the database (Ben Thompson and Benjamin Thompson). You can replace the first value with second value so that all documents that have either of the values will be retrieved with one search instead of doing two different searches with both names.
You can only replace Keyword Values for Alphanumeric Dual Table Keyword Types.
When a Keyword Value is replaced, all instances of the old Keyword Value will be replaced with the new Keyword Value. It is important to carefully consider all the Keyword Values that exist on the documents that will be updated. For example, a user may have accidentally indexed a single document with the name SMITH, when the correct name is SMYTH. If the Replace Keywords function is used to correct this mistake, then all instances of SMITH in the system would be replaced with SMYTH.
