If you add multiple instances of a specific Security Keyword Type to one user or User Group, that user or User Group will be able to view documents that contain any of the configured Security Keyword Values. For example, a user is configured with the following Security Keyword Types:

Department = Executive

Department = Sales

If this user attempts to retrieve documents that contain the Department Keyword Type, that user will be able to see all documents that have been indexed with the Department Keyword Value of Executive, as well as all documents that have been indexed with the Department Keyword Value of Sales.

However, if you add different Security Keyword Types to one user or User Group, that user or User Group will only be able to view documents that contain all of the configured Security Keyword Values. For example, a user is configured with the following Security Keyword Types:

Department = Sales

Employee = John Adams

If that user attempts to retrieve documents that contain both the Department and Employee Keyword Types on them, that user will only be able to view documents that contain a Department Keyword Value of Sales and an Employee Keyword Value of John Adams.

To assign Security Keywords to a user or User Group, follow these steps:

  1. In the Configuration module,
    • To assign Security Keywords to a User Group, select Users | User Groups/Rights.

    • To assign Security Keywords to an individual User, select Users | User Names/Passwords

  2. Select the User Group or User that will be assigned Security Keywords.
  3. Click Security Keywords to access the Security Keyword dialog box.
  4. To assign a Security Keyword, click Create.
  5. The Security Keyword Settings dialog box is displayed.
  6. Select the Keyword Type from the Keyword Type drop-down list.
  7. Select Static Value or Username. Select Static Value to enter an unchanging value for this Security Keyword. Select Username to configure this Security Keyword to restrict documents for each user based on that user's personal user name. The Username option is only enabled if the selected Keyword Type is alphanumeric.
    • If you selected Static Value, type the Keyword Value into the text field and select the Equal or Not Equal condition.

      Note:

      The Keyword Value is limited to the allowable values for the Keyword Type previously configured in the Keyword Type Settings dialog box.

    • If you selected Username, the text field is automatically filled with << USERNAME >>.

  8. Click Save. The Security Keyword displays in the Security Keyword dialog box.
    • To remove a Security Keyword, select it and click Delete.

    • To modify or edit a Security Keyword, select it and click Settings.

    • To deselect a selected Security Keyword, click Clear.

  9. Click Close when all Security Keywords have been assigned.
