Before assigning licenses to User Groups, ensure that you fully understand how this will affect license consumption in your system. See Considerations for User Group-Associated Licensing for more information.
To configure license settings:

In the Configuration module, select User Groups &
Rights from the Users menu.
The User Groups & Rights dialog box is displayed.
- Select the User Group to configure in the User Group Name pane.

Click Licenses.
The License Settings dialog box is displayed.

To associate licenses with the User Group:
- Click the Associated Licenses tab.
- Select a license or licenses in the Available pane.

Click Add.
To remove an association, select the license or licenses in the Selected pane and click Remove.
Note:Only licenses available to your system are included on the Associated Licenses tab. To add or remove licenses from OnBase, contact your first line of support.

To configure the number of concurrent licenses available for the User Group:

Select the License Restrictions tab.

Select a license or licenses in the Available pane.
Note:
Only concurrent licenses available to your system are included on the License Restrictions tab. Concurrent licensing is not available for all modules. To add or remove licenses from OnBase and learn more about concurrent licensing, contact your first line of support.

Click Add.
To remove an association, select the license or licenses in the Selected pane and click Remove.

Select the concurrent license to configure in the Selected pane. The License Pool Size settings are enabled.
Note:
The Enterprise Concurrent Client license does not respect the License Pool Size settings configured on the License Restrictions tab.

If a User Group needs guaranteed access to the license, enter a minimum number of concurrent licenses in the Minimum field. This setting sets aside a certain number of licenses for exclusive use by the User Group. Enter 0 to not set aside any licenses.
For example, if you have 20 total concurrent licenses and you need to ensure 10 of them are always available to Group A, set the Minimum value to 10 for Group A. The remaining 10 licenses are then available to all other User Groups associated with that license on a first-come, first-served basis. This means that if 13 users from Groups B and C try to acquire that license, the first 10 users will succeed, but the eleventh user cannot use the associated functionality because a pool of 10 licenses is reserved for use by Group A.
Note:The Minimum number may exceed the total number of licenses. If your minimum is set too high, it may limit access to a specific User Group. For example, if you have a total of three licenses and set the minimum for a User Group to 5, then any user who is not a member of that group will not be able to use the associated functionality.

Enter the maximum number of licenses to assign to the selected User Group in the Maximum field under License Pool Size. After the Maximum value is met, no more users from that User Group can acquire that license.
For example, if you have 50 total concurrent licenses but only want Group A to ever use fifteen of them, set the Maximum value to 15. This means that if 20 users from Group A try to use the associated functionality, only the first fifteen users will be able to do so. The sixteenth user will not be able to acquire a license and use the associated functionality.
Tip:Users can belong to multiple User Groups, but you can set a primary User Group for a user for the purpose of license restrictions. The primary User Group is configured when assigning User Groups to a user. For more information, see Assigning a User Group.

Click Update to apply the License Pool Size settings.
Note:
Inactive sessions count towards the License Pool Size limit. See View Current Users for more information on inactive sessions.

Select the License Restrictions tab.

Click Close to exit the License Settings dialog box.
Note:
If you attempt to close the License Settings dialog box without configuring the License Pool Size settings for all licenses selected on the License Restrictions tab, you are prompted to confirm this action. If you click Yes, any unconfigured concurrent licenses on the License Restrictions tab are removed from the Selected list.
