A Keyword cross-reference is used to cross-reference documents based on a Keyword Type Value common to the Document Types. The system automatically compares Keyword Values stored for the cross-referenced documents when an operator double-clicks on a region of the current document.
Different combinations of file formats can be used in the comparison. The only requirement is that the current and retrieved documents have Keyword Types in common.
- In the Configuration module, select Document | Document Types.
-
At the Document Type dialog box, select the Document Type that represents the current document (i.e., the document used to initiate the cross-reference). Click Cross-References.
-
At the Cross-Reference Assignment dialog box, add one or more Document Types to be cross-referenced, or retrieved, by selecting them from the Available Document Types. Click Add to add them to the list. To remove Document Types from retrieval, select them from the Selected Document Types list and click Remove.
- With the retrieval Document Type(s) selected, click Keywords.
-
At the Cross-Reference Keywords dialog box, Keyword Types that are common between the current and retrieved documents are displayed in the Available Keywords list.
Select the Keyword Types that will be used to connect the two Document Types. You may also select the Document Date property in order to refine the criteria for matching the two Document Types.
To add a common Keyword Type, select a Keyword Type from the Available Keywords list and click Add. To remove a Keyword Type from the Selected Keywords, select the Keyword Type and click Remove.
Note:A document must have matching Keyword Values for every Keyword Type in the Selected Keywords list in order to be returned as a match for the current document.
-
Click Settings to display the Cross-Reference Keytype Settings dialog box. You may choose from three options:
Setting
Description
Prompt for user input when multiple keywords are found.
Prompts the user to select the Keyword Value to match for the selected Keyword Type.
Apply multiple keyword values for selecting one document.
Requires that all Keyword Values match on retrieved documents for the selected Keyword Type.
Retrieve documents that have at least one common keyword value.
Returns a document if any of the Keyword Values match for the selected Keyword Type.
-
Select Close.
If the current document is a text file format, double-clicking anywhere on a text area of the open document will initiate the cross-reference. The clicked text does not have to correspond to the Keyword Value.
- If the current Document Type is an image file format, an image area must be defined as the double-click area for initiating the cross-reference. Return to the Cross-Reference Assignment dialog box, and click Image to configure the image double-click area. See Configuring an Image Area Cross-Reference for more information.
