The Display and Sort Columns available in the search results lists returned by Custom Queries and Cross-References can be configured to include information based on Keyword Types or Document Properties.

The Keyword Types available for Display and Sort Columns are those that the Document Types or Document Type Groups included in the Custom Query or Cross-Reference have in common. With a Keyword Type query, all Keyword Types selected for the query are available as Display Columns.

To include Document Properties as Display and Sort Columns they must first be made available for configuration. The Display Column Maintenance dialog box is used to select the Document Properties information to make available for configuration as Display and Sort Columns.

Note:

Display Column Maintenance is unavailable for Folder Type and Custom Written SQL queries.

  1. In the Configuration module, select Display Columns from the Document menu. The Display Column Maintenance dialog box is displayed.
  2. Select one or more of the following categories:

    Category

    Document Property

    Description

    Document Columns

    Note:

    Document columns are available by default and cannot be removed (i.e., the Document Columns option cannot be deselected).

    Author

    The User Name of the document creator.

    Author ID

    The User ID of the document creator.

    Document Name

    The contents of the auto-name string for the document.

    Document Date

    The Document Date is assigned to a document by OnBase during import. This is the date used during searches limited by date.

    Note:

    When sorting by Document Date, OnBase first sorts the documents by date and then by time imported. No other sort categories are applied.

    Date Stored

    The date on which the document was imported or indexed into OnBase. This date is used for internal tracking.

    Document Handle

    The unique number that identifies a document. The document handle is assigned to a document when it enters OnBase.

    Document Type

    The Document Type to which the document is assigned.

    Workflow Columns

    Note:

    Custom Queries with Workflow Columns selected may take longer to run in the Unity Client and Web Client.

    Arrival Time

    When the document entered the Workflow queue.

    Workflow Queue

    The name of the Workflow queue the document is currently in.

    Note Columns

    Note Type

    The Note Type of the Note attached.

    Note Contents

    The contents of the Note attached.

    Note:

    Users can view the contents of notes on documents included in the search results list if the Note Contents column is included for display and sorting, regardless of user Note Type rights.

    Note Count

    The total number of Notes attached to the document.

    Note:

    The Note Count display column is not supported in Core Services applications, such as the Web Client. If Note Count is assigned as a display column, that column is not displayed in Core Services applications.

  3. Click Save. The selected Document Properties are now available for configuration as Display and Sort Columns in Custom Queries and Cross-References.

When configuring Full Text Custom Queries, there are several additional properties available for configuring Display Columns, Group Columns, or Filter Columns. These additional properties are always available when configuring Full Text Custom Queries:

  • Score: A numerical score that indicates how closely the result matches the search criteria.

  • Summary: A brief summary of the document that contains the search string.

  • File Type: The file type of the document.

Tip:

To ensure that newly selected or deselected Document Properties are reflected in configuration, it is a best practice to restart the Configuration module after selecting or deselecting a column in the Display Column Maintenance dialog box.
