CAUTION:

Documents purged from the Document Maintenance window are unrecoverable. They are deleted permanently from OnBase. The purge feature is intended for system administrators only.

To purge deleted documents:

  1. From the Document Maintenance window, do one of the following:
    • To purge one or more documents, select the documents you would like to purge. Right-click and select Purge Selected.

    • To purge all documents in the Document Maintenance dialog box, right-click and select Purge All.

    The Purge or Purge All dialog box is displayed.

  2. Click OK or Yes to permanently remove the documents from OnBase. This also removes the corresponding files from the storage media. Only documents belonging to Document Types you have rights to can be purged.
    Purged documents can no longer be retrieved by the system through any means. The only exception to the removal of files is if a document that was not purged still refers to the file in question, in which case the file is left in the Disk Group. Only documents within Document Types that the user has rights to will be purged.

When attempting to purge a file from Document Maintenance, the following error may be encountered: Some physical files may not have been properly deleted! This indicates that the name or location of the file has changed since it was deleted and sent to Document Maintenance. The file is still removed from Document Maintenance and OnBase, though the physical file may still exist in the disk groups.
