CAUTION:

If overlays are being applied to image documents, ensure that the overlay and documents have the same DPI and dimensions. Not doing so could result in misalignment of the overlay and the document, which can cause redactions to be saved in different areas than the intended locations. This may reveal areas of the document intended for redaction.

  1. In the Configuration module, select Document | Document Types.
  2. Click Overlay on the Document Types dialog box. The Overlay Options dialog box gives the settings for the currently assigned overlays.
  3. If multiple revisions of the Document Type exist, select the revision whose overlay settings are to be configured.
  4. Individual groups of settings are configured for each type of overlay: View, Print, and Fax. For convenience, Copy view to print and Copy view to fax can be used to quickly copy the same settings configured for the View overlay to the Print and Fax overlays, respectively.

    Select appropriate overlay settings; the settings are described in the following table:

    Overlay Setting

    Description

    Overlay Image

    Contains all of the overlays that have been stored in the system. (When overlays are imported into the document management system, they are stored under the Document Type SYS Overlay Images.)

    Tip:

    Black-and-white images should not be used for print overlay images because scaling a black-and-white image for printing may distort it. It is a best practice to use grayscale or color images for printing overlays.

    Font Options

    Allows you to choose a different font for the overlay when it is applied. This is where a Named Font can be assigned.

    Note:

    The font must be a fixed-pitch font configured from the Named Fonts Font Configuration dialog box. See Named Fonts Configuration for more information.

    Text Display

    Allow the application of the overlay to be controlled independently between image documents (Image Display drop-down list) and text documents (Text Display drop-down list) stored within the same Document Type. The following selections can be made at each drop-down list:

    Not Available

    Disables the use of an overlay with the displayed documents. When selected for:

    View: The Overlay right-click option for the open document and the View Overlay toolbar button are unavailable.

    Print: The Print Overlay check box in the Print dialog box is automatically deselected and disabled.

    Fax: The Fax Compatible check box in the Print dialog box is automatically deselected and disabled.

    Default Off

    View: Displays all documents without an overlay. The Overlay right-click option for the open document, and the View Overlay toolbar button are active and can be used to toggle the overlay on/off.

    Note:

    If users select the Send To | File or Send To | Mail Recipient option from the Document Search Results list while Default Off is selected, the overlay will not be sent with the document.

    Print/Fax: Prints or faxes all documents without an overlay. The Print Overlay check box in the Print dialog is automatically enabled but is deselected.

    Note:

    If the documents are configured to use a Print Format that is configured to have the Overlay Document check box selected, the documents will be printed or faxed with an overlay.

    Default On

    View: Displays all documents with an overlay. The Overlay right-click option for the open document and the View Overlay toolbar button are active and can be used to toggle the overlay on/off.

    Print/Fax: Prints or faxes all documents with an overlay. The Print Overlay check box in the Print dialog is automatically enabled and selected.

    Enforces the use of an overlay with the displayed documents. When selected for:

    View: The Overlay right-click option for the open document and the View Overlay toolbar button are unavailable.

    Print: The Print Overlay check box in the Print dialog box is automatically selected and disabled.

    Fax: The Fax Compatible check box in the Print dialog box is automatically selected and disabled.

    Left/Top/Right/Bottom

    These values correspond to the left, right, top, and bottom margins of the overlay (in pixels) and define how the overlay will appear over the document. You can type positive or negative values into the margin fields. You may have to try several combinations of margin configurations before the overlay fits the document correctly.

    Note:

    Margins apply to text documents only. When an overlay is applied to an image document, the overlay does not use the configured margins.

    CAUTION:

    When setting margins for text documents, notes and annotations may not be printed or saved to file as expected, even though they may appear correctly in the document viewer.

    Note:

    For text documents only, an Overlay Display Configuration dialog box can be accessed from the open document in the Client module. The same adjustments for margins can be made at this dialog box. To access the dialog box, right-click and select Overlay Settings after enabling the display of the overlay.

  5. Click Apply to retain the settings.
  6. Click Close to return to the Document Types dialog box.
    Note:

    An overlay assigned to a print format at the Print Formats dialog box and selected in the Print dialog box will take precedence over the Document Type settings only if the Document Type's print or fax overlay setting is set to Default Off.

    Tip:

    A different overlay can be applied to each page within a single document. To do this, you must create a multi-page image overlay where each page of the overlay image corresponds to the page it will be applied to in the document.

When e-mailing a document with an overlay, the User Options must be set to view Overlays. In addition, the Document Type must be configured by your system administrator to use the overlay by default.
