User Group Configuration for Note Types determines access to Note Types for User Groups.

Note:

When a Note Type is created, the User Group that created the note is automatically assigned full rights (Create, View, Modify, Delete) to that Note Type. Only the owner of a note, or a member of the Manager or Administrator groups can delete a note from a document. Delete privileges for Note Types do not apply to notes created by other users.

  1. In the Configuration module, select Users | User Groups & Rights.
  2. Select the User Group and click Note Types to open the Assigning Note Types for [user group] dialog box.
  3. The Selected list contains all Note Types that are currently assigned to the User Group. The Privileges list allows you to assign particular rights for each Note Type.

    To add a Note Type and assign the rights to that Note Type, select a Note Type from the Available list and click Add to add the Note Type to the Selected list. In the Privileges section, select the check boxes that apply to that particular note. Click Modify to add the Note Type privileges to the Note Type.

    To remove a Note Type from the Selected list, select the Note Type and click Remove. This will return the Note Type to the Available list.

    Tip:

    You can also add or remove Note Types by double-clicking on the desired Note Type.

    Create

    Allows you to create notes.

    View

    Allows you to view notes. Allows you to perform note searches including the selected Note Type.

    Modify

    Allows you to modify notes (Save Note Position, Change Note Type). You are unable to modify notes that you cannot view.

    Delete

    Allows you to delete notes. You are unable to delete notes that you cannot view.

    Note:

    Privileges must be set for each note type individually.

    Note:

    A user who has create, modify and delete rights, but not view rights for a Note Type can delete or modify the Note Type they just created in an open viewer. Once the open viewer is closed, they will not be able to delete or modify.

  4. Click Close to save changes.
