Keyword Value searches allow you to retrieve documents based on their Keyword information.

Note:

The options available to you will depend upon your User Groups and Rights and the configuration of the Document Types and Groups. See your system administrator for details.

To retrieve documents by Keyword Value:

  1. On the Home tab, click Retrieval.
    Retrieval button.
    The Document Retrieval layout is displayed.
  2. In the Document Retrieval pane, from the drop-down list in the Document Types and Groups section, do one of the following:
    • If retrieving from a single Document Type Group, select the Document Type Group by choosing from the list or by entering the name of the Document Type Group.
    • If retrieving from multiple Document Type Groups, select <All>.
  3. From the Document Types list, select the Document Types to include in your search by choosing from the list or by entering the name of the Document Type. To select multiple Document Types, press Shift or Ctrl as you click.
    Note: A Document Type Group that has the Group Search Enabled Group Type does not require you to select a Document Type in retrieval. If the selected Document Type Group is Group Search Enabled, the Keyword fields and Find button are available after selecting the Document Type Group, and you may skip this step.

    Keyword fields are displayed in the Keywords and Date Range section based on the selected Document Types. If multiple Document Types are selected, only Keywords that are common to all the selected Document Types are displayed.

  4. Enter Keyword Values or select Keyword Values from the drop-down list, if available.
    Note: Some searches require you to enter at least one Keyword Value. Search requirements are determined by your system administrator.
  5. When you have entered all search criteria, press Enter or click Find.
    Find button.

All documents that match the search criteria are displayed in the Search Results list. If you used a text search as a method of retrieval, OnBase provides the number of times the search criteria appears in the document, as well as the page(s) on which the items were found.

Note:

OnBase maintains a record of the search criteria used in each search in Query History so that you can repeat it exactly during a given session.

When retrieving documents by Keyword Value, the following keyboard shortcuts are available:
