You can configure catalogs to allow objects to be full text searched. Only classes and attributes configured in a full text catalog can be full text searched. Full text catalogs are configured within the OnBase Studio. To configure a full text catalog:

  1. In the WorkView ribbon, click Catalogs. The Catalogs dialog box is displayed.
  2. Click Add. The Catalog Configuration dialog box is displayed.
  3. Enter a Name for the catalog.
  4. Select a directory to store the catalog information and enter this directory in the Index Path field. You can click the ellipsis button to browse to a directory. Each catalog created must have its own unique directory. Multiple full text catalogs cannot share a directory.
    Note:

It is recommended that a UNC path be used.

  5. Select an Application and a Class from the drop-down list to view the attributes that have been configured for that application and class. If you select <All> for either option, you will need to select the class in which the attribute(s) you want to index reside within the Catalog Attribute Configuration dialog box.
  6. If you want to add one attribute at a time, click Add. The Catalog Attribute Configuration dialog box is displayed. If you want to enter multiple attributes at the same time skip to step 11.
  7. Select the Class from the drop-down list that contains the attribute you want to index.
  8. Click the ellipsis button to select the Attribute and select the attribute you want to index.
    Note:

Calculated attributes are not available for selection.

    CAUTION:

It is recommended that attributes containing sensitive data should not be indexed for full text searching. While users may not be able to open objects with sensitive data, they may be able to see the attribute values in the list of object returned by the search.

  9. In the Name, enter the user friendly formatted name for the attribute.
  10. Click OK. Once your attribute is configured, skip to step 17.
  11. To add multiple attribute, click Add Multiple. The Catalog Attribute Configuration dialog box is displayed.
  12. From the drop-down list under the Class column, select the class from which the attribute that you want to add to the catalog belongs.
  13. Under the Attributes columns, click the ellipsis button (...) and select the attribute that you want to add to the catalog.
    CAUTION:

It is recommended that attributes containing sensitive data should not be indexed for full text searching. While users may not be able to open objects with sensitive data, they may be able to see the attribute values in the list of object returned by the search.

  14. Under the Name column, enter the user friendly formatted name for the attribute.
  15. Continue adding attribute configurations to the rows in the dialog box until you have all the attributes you want configured.
  16. Click OK.
  17. Select the User Group tab.
  18. Click Add.
  19. Select the check boxes next to the user groups you want to assign to the catalog. If you want to grant rights to all user groups, you can place a check mark in the header of the left column.
  20. If a user group is given rights to a full text catalog, the user group has rights to view any indexed information in the catalog, regardless of rights to applications and classes. Indexed information is displayed in search results.
  21. Click OK.
  22. Select the General tab and click Index Now to index the objects that meet the catalog's criteria. A message is displayed that describes the time commitment required for indexing. Click Yes to continue with the index.
    Note:

In order to successfully full text search the class in the selected catalog, you will need to index the class.

  23. A message displaying a summary of the indexing action is displayed. Click OK.
  24. Click OK when the catalog configuration is complete.
    Note:

The account running the Application Server's application pool requires "Read" permissions to the share that contains the catalog. The user configuring the catalog requires "Read" and "Modify" access to the directory. The account configured to run the Full-Text Indexing Service must have "Write" access to the directory in order for the catalog to update correctly.
