Once actions are created, they can be configured. To configure an action:

  1. Select the action in the Repositories pane. The Properties pane populates with information about the action.
  2. In the General tab, select the appropriate action type from the Action Type: drop-down menu. The following choices are available:

    Option

    Description

    Create and Auto-Save Form

    Creates and automatically saves an E-Form, Unity Form, or Image Form to OnBase. For more information, see Configuring Form Related Action Types.

    Create and Display Form

    Creates an E-Form, Unity Form, or Image Form and allows you to edit the form before creation is complete. For more information, see Configuring Form Related Action Types.

    Display Template

    Enables Administrators to configure and associate templates to an action. For more information, see Configuring Display Template Actions.

    Execute List of Other Actions

    Executes list of other configured actions. For more information, see Configuring an Execute List of Other Actions Action Type.

    Execute Unity Script

    Executes specified Unity script. For more information on configuring Unity scripts, see Unity Scripting in the Hyland SDK.

    Execute VB Script

    This option is not supported.

    Modify Attribute

    Modifies specified attribute. For more information, see Configuring a Modify Attribute Action Type.

    Modify Object Class

    Click Extended Class and select the appropriate extension class that you would like to extend objects to. This action extends properly configured objects to objects in the selected extension class. The object will still exist in the originating class. For more information, see Configuring Extended Class Action Types.

    Modify Object Class (Picklist Selection)

    Allows you to change the class of an existing object belonging to an extension class to another extension class that shares the same base class. For more information, see Configuring Extended Class Action Types.

    Send Notification

    Sends an assigned WorkView notification. For more information, see Configuring a Send Notification Action Type.

    CAUTION:

    When using an action to send a notification, the rules defined for sending the notification at the notification level are not respected. Using an action button to initiate a notification will send the notification regardless of whether the rules defined for the notification are met.

    Add to Workflow Life Cycle

    If you have the Workflow module and you have configured a life cycle to route WorkView Items for the selected class in OnBase Studio, this action can be used to add objects to a life cycle. Once this action is selected, click Select Life Cycle, select the appropriate life cycle, and click OK. Only life cycles configured for the selected class are displayed in the Life Cycle Selection Form dialog box.

    Note:

    This action is not supported for external classes.

    Execute Workflow System Task

    If you have the Workflow module and you have configured a system task associated with WorkView Items for the selected class in OnBase Studio, this action can be used to execute a specified system task. Once this action is selected, click Select System Task, select the appropriate system task, and click Save. Only system tasks configured for the selected class are displayed in the Execute System Task Action Assignment Form dialog box.

    Note:

    You can search for specific system task by entering characters that the system task starts with in the Prefix filter for available System Tasks field and click Go. The characters are case sensitive and must be in the order they occur in the name. Wildcard searching is not supported.

  3. Configure the action appropriately. See the following sections for more information about configuring specific action types: Configuring a Modify Attribute Action Type, Configuring an Execute List of Other Actions Action Type, Configuring a Send Notification Action Type, Configuring Form Related Action Types, Configuring Extended Class Action Types or Configuring Display Template Actions.
  4. Select the User Groups tab.
    CAUTION:

    Granting users rights to an action allows them to perform all functions of the script associated with the action, regardless of any other security settings within WorkView.

  5. Click Add.The User Groups dialog box is displayed.
  6. Select the check boxes next to the user groups you want to assign to the action.
  7. If you want to display only the users you have selected, select the Show only included items check box.
  8. Click OK.
  9. Select the Icon tab.
  10. Select a Small Icon and Large Icon from the drop-down lists. If (No Icon) is specified, a default icon will be used. Depending on the number of actions you have configured to display will determine the icon size associated with the actions.
    Note:

    The icons available in the Icon drop-down list are stored in the SYS - System Icons Document Type. The icons available in the Small Icon drop-down list are stored in the SYS - System Bitmaps Document Type. JPEGs are the supported file format for icons in WorkView.

When an action is configured for a screen, a button is created on the screen to be used to execute the configured command. An action button will only be available if the currently logged in user has rights to the specific action.

Arrange the actions in the order you want them displayed in the WorkView Client by selecting actions in the Actions folder in the Repositories pane and dragging them to the appropriate locations.

To edit an existing action configuration, select the action in the Repositories pane and the configuration will display in the Properties pane for editing.
