Notifications can send information to users via e-mail. Notifications can be attached to specific classes. Notifications can be triggered by an object event, or an action.

Note:

In order to use notifications, you must have the Hyland Distribution Service properly installed, configured, and running.

CAUTION:

WorkView Timers were removed in OnBase version 24. To send notifications from a timed service, use Workflow. For more information, seeWorkflow MRG.

Note:

If you will be sending messages larger than 64000 bytes using WorkView, the temporary file cache must be configured.

Note:

Embedding images from a Formatted Text attribute in a WorkView notification is not supported.

CAUTION:

When using an action to send a notification, the rules defined for sending the notification at the notification level are not respected. Using an action button to initiate a notification will send the notification regardless of whether the rules defined for the notification are met.

To create a notification:

  1. In the WorkView ribbon, in the General ribbon group, click Notifications. The Notifications dialog box is displayed.

    Alternately, you can select the Notifications node under a class in the Repositories pane and click Add in the Properties pane.

  2. If this notification is specific to a class, select the Class from the drop-down list.
  3. Click Add. The Notification Configuration dialog box is displayed.
  4. On the Message tab, enter a Name for the notification.
  5. Enter a Description for the notification.
  6. On the Message tab, enter identification information about who is sending the notification in the From field.

    You can use the corresponding drop-down list to specify a filter that returns values appropriate for the field by selecting Filters. See Using Filters in Notification Fields for more information.

    If this is a notification associated with a specific class, attributes will be available for selection from the drop-down list in the Attribute Value menu option.

    In addition, in the drop-down list you can select the name of the Current User when the notification is sent as the From value. See Using the Current User in Notification Fields for more information.

    Note:

    If a value is not specified here, the Hyland Distribution Service's default sender is used.

  7. Enter the Subject of the message.

    You can use the corresponding drop-down list to specify a filter that returns values appropriate for the field by selecting Filters. See Using Filters in Notification Fields for more information.

    If this a notification associated with a specific class, attributes will be available for selection from the drop-down list in the Attribute Value menu option.

    In the drop-down list you can select the name of the Current User when the notification is sent for the value. See Using the Current User in Notification Fields for more information.

    In the drop-down list you can select the Current Date/Time when the notification is sent for the value. See Using the Current Date/Time in Notification Fields for more information.

  8. In the Body field, enter the message you want to include in the notifications. You can enter a combination of static and dynamic text to build the message.

    You can use the Insert Token drop-down to insert filters, user names, or dates. See the following sections for more information: Using Filters in Notification Fields, Using the Current User in Notification Fields, and Using the Current Date/Time in Notification Fields.

    If this a notification associated with a specific class, attributes will be available for selection from the Insert Token drop-down list in the Attribute Value menu option.

    Note:

    Calculated attributes are not available for selection.

    In addition, you can enter macros to insert dynamic data.

    Note:

    When a user receives a notification, it is displayed as HTML. HTML tags will not displayed in the body of the message.

  9. Select the Recipients tab.
  10. Enter a Recipient in the field. You can separate recipients using either commas or semi-colons. Do not mix commas and semi-colons to separate recipients to ensure the recipients are identified properly and the messages are sent; use one or the other within the field.

    You can use the corresponding drop-down list to specify a filter that returns values appropriate for the field by selecting Filters. See Using Filters in Notification Fields for more information.

    If this a notification associated with a specific class, attributes will be available for selection from the drop-down list in the Attribute Value menu option.

    You can use the corresponding drop-down list to specify a certain user's email address by selecting Users and then the appropriate user name. The <<%E:nameofuser>> will be inserted into the field.

    You can use the corresponding drop-down list to specify all of the users' email addresses within a certain user group by selecting User Groups and then the appropriate user group name. The <<%G:nameofusergroup>> will be inserted into the field.

    In addition, in the drop-down list you can select the name of the Current User when the notification is sent as Recipient value. See Using the Current User in Notification Fields for more information.

  11. Select the type of recipient the addition should be. You can choose to place the recipient in the To, Cc, or Bcc message fields.
  12. Click Add.
  13. Add all the appropriate recipients.
  14. If you want to send a notification per recipient and not just one notification to all the recipients at once, select the Send one notification per recipient check box.
  15. Select the Condition tab.
  16. When the notification is associated with a specific class, the Send notification when object is options are available. Select the appropriate object status. See Object Status for more information.
  17. From the Condition Test drop-down select the appropriate condition under which you want the notification sent.
  18. Configure the correct conditions for the notification to be sent. See Condition Test Options for more information.
  19. If you have configured the notifications, but you don't want to send it and you don't want to delete the notification, you can disable it by selecting the Disabled (do not send this notification) option.
  20. Click OK.

You can modify a notification by selecting it and clicking Modify.

You can delete a notification selecting it and clicking Delete. A message stating Are you sure you want to delete this notification? is displayed. Click Yes to confirm the deletion.

Note:

You cannot delete a notification if the notification is referenced within a WorkView configuration. References must be removed before the notification can be deleted.
